Job Title: MSP Administrative Specialist

Location: Remote (Direct Hire)

Summary:

We're seeking a highly organized, self-motivated MSP Administrative Specialist to support daily operations such as billing, vendor coordination, reporting, and general administrative functions. This role requires experience in Managed Service Provider (MSP) environments and proficiency in ConnectWise PSA. The ideal candidate thrives in a fast-paced setting, manages multiple priorities effectively, and ensures smooth internal operations and client satisfaction.

Key Responsibilities
  1. Billing & Invoicing: Generate monthly invoices using ConnectWise PSA, ensure timely processing of Pax8 invoices, reconcile endpoint audits, handle billing inquiries, and manage quotes and vendor costs.
  2. Vendor & Procurement Management: Manage vendor contracts, oversee order fulfillment, coordinate deliveries, and facilitate communication during renewals.
  3. Reporting & Metrics: Create operational and financial reports, submit backup reports, and support KPI tracking.
  4. Client & Account Administration: Onboard clients, maintain records, ensure license synchronization, and prepare quotes.
  5. Administrative Operations: Process employee expenses, support office tasks, manage internal tools, and assist with HR questions.
  6. Meetings & Team Collaboration: Attend team meetings, share updates, discuss improvements, and collaborate cross-functionally.
Key Performance Indicators (KPIs)
  • Respond to tickets within 24 hours
  • Place client orders within 24 hours of approval
  • Process PTO requests within 5 business days
  • Complete Managed Services invoicing by the 1st of each month
  • Complete Pax8 invoicing by the 5th
  • Submit Veeam and audit reports by the 5th
  • Update timesheets timely for payroll
Qualifications
  • 3-5+ years of administrative support in MSP or IT services
  • 3+ years with ConnectWise or similar platforms
  • Procurement experience and vendor relationship management
  • Familiarity with integration tools like IT Glue, ConnectBooster, BrightGauge
  • Ability to streamline processes and communicate effectively
  • Proficiency in Office 365 and business documentation
