Job summary

Baxters North America is seeking a detail-oriented Inventory & Materials Coordinator to support maintenance by managing spare parts, tools, and MRO supplies. You will ensure timely availability, accurate record-keeping, and compliance with safety and procurement standards.

You will monitor stock levels, perform cycle counts, track POs, and maintain CMMS records while collaborating with maintenance techs and vendors to ensure critical parts are available for scheduled work.

Qualifications

  • Require high school diploma or equivalent; associate degree preferred.
  • 1-3 years of maintenance, inventory control, or warehouse experience.
  • Familiarity with CMMS and basic procurement processes is required.

Responsibilities

  • Monitor and maintain stock levels of MRO supplies and spare parts.
  • Conduct regular cycle counts and assist with inventory audits.
  • Assist in sourcing and ordering maintenance materials.
  • Track purchase orders and follow up with vendors for timely delivery.
  • Maintain accurate records in the CMMS (Computerized Maintenance Management System).
  • Update inventory transactions and work order materials usage.
  • Collaborate with maintenance technicians to ensure parts availability for scheduled work.
  • Communicate with suppliers and internal departments regarding material needs.
  • Ensure proper storage and labeling of materials according to safety standards.
  • Support adherence to company policies and regulatory requirements.
  • Direct and coordinate the purchasing of materials, supplies, or equipment.
  • Collaborate with production and supporting departments to ensure food safety and product quality.

Job description

Scope of Job: This position is responsible for supporting the maintenance team by managing inventory of spare parts, tools, and supplies required for maintenance, repair, and operational activities. This role ensures timely availability of materials, accurate record-keeping, and compliance with procurement and safety standards. Monitor and track maintenance materials from purchasing, processing, warehousing and maintenance processes.

Essential Job Functions And Responsibilities:

  • Assist in sourcing and ordering maintenance materials.
  • Track purchase orders and follow up with vendors for timely delivery.

  • Work closely with maintenance technicians to ensure required parts are available for scheduled work.
  • Communicate with suppliers and internal departments regarding material needs.

  • Directs and coordinates the purchasing of materials, supplies or equipment required by the company.
  • Collaborate with production and supporting departments to ensure the food safety and quality of our products.
  • Perform other duties as assigned.

Education: High school diploma or equivalent required; associate degree preferred.

Experience: 1-3 years of maintenance experience or equivalent combination of education and experience required. Experience in inventory control, maintenance support, or warehouse operations. Familiarity with CMMS and basic procurement processes required.
