Job description

Under the supervision of the Assistant Director and Director, the Administrative Assistant performs responsible administrative and operational support duties for Mozingo Lake Recreation Park. This position serves as a resource and support to front desk staff by assisting with training, day-to-day guidance, reservation questions, customer concerns, and consistent application of established procedures. Primary responsibilities include reservation and guest account management, resolution of customer service issues, retail operations and inventory, administrative and financial support, and assistance with the coordination of front desk operations. While the Administrative Assistant is expected to be knowledgeable in all front desk functions and may provide front desk coverage during breaks, absences, periods of high customer volume, or as operationally necessary, this position is primarily an administrative and operational support role rather than a regularly scheduled front desk position. The employee exercises sound judgment within established policies and refers significant personnel matters, policy exceptions, emergencies, and complex issues to supervisory staff.

  • Serve as a resource to front desk staff by providing day-to-day guidance, helping prioritize tasks, answering operational questions, and promoting consistent customer service and application of established procedures.
  • Assists supervisory staff with coordinating front desk schedules and coverage needs and communicates staffing gaps, conflicts, or operational concerns.
  • Provides ongoing coaching or retraining to front desk employees as needed and communicates recurring performance or operational concerns to supervisory staff; formal performance and disciplinary matters remain with supervisory staff.
  • Maintains front desk procedures, reference materials, forms, and training resources and helps communicate procedural updates to staff.
  • Process and manage customer reservations and account needs for cabins, group camp, RV sites, and other park facilities, including group reservations or complex bookings by preparing confirmations, invoices, reservation materials and related correspondence.
  • Explain payment, deposit, and cancellation requirements; collect fees; processes approved refunds and deposits in accordance with policy; and reviews reservation and transaction records for accuracy.
  • Assist front desk staff with customer complaints and service concerns, independently resolving routine matters within established policies and escalating significant complaints, policy exceptions, safety concerns, emergencies, or repeated rule violations to appropriate supervisory staff.
  • Coordinate and communicate guest, campground, reservation, facility, housekeeping, and maintenance needs with Camp Hosts and appropriate park staff and follow up as necessary to ensure issues are addressed.
  • Coordinate day-to-day operation and presentation of the Visitors Center retail space, including merchandising, displays, pricing, signage, organization and overall guest experience.
  • Monitor retail inventory, conduct routine counts, receive and verify merchandise, and maintain inventory records
  • Identify product and supply needs, and prepare order recommendations based on sales, guest demand, and seasonal needs

SECONDARY FUNCTIONS
