About The Role:

The main purpose of the role is to provide Receptionist Services & Administration duties to OCS Management Services for our operations in our Clients’ Facilities.

Key Responsibilities:

  • Efficiently undertake and co-ordinate all site administration duties, providing admin support to the Contract Manager and the wider team.
  • Provide general administrative and coordination duties specific to the contract to which assigned cover is being provided.
  • Maintain accurate, up-to-date and relevant information records on OCS and client systems and updating these systems as required.
  • Support the maintaining site QHSE folders and keeping them updated.
  • Support issuing of facilities site wide notifications as and when required.
  • Ensure contractor documentation is in place and are kept up to date with all the relevant documentation.
  • Maintain the site records – weekly Timesheets, Management of PO’s & Supplier Invoices etc.
  • Operating the switchboard ensuring all calls both external and internal are answered efficiently.
  • Responsible for all visitors, from initial welcome to ensuring they are issued with correct security identification. All visitors must be announced to their host and ensure visitor is met by their host.
  • Administration of the booking of meeting rooms. Take reservations, monitor daily meetings and ensure rooms are set up properly.
  • Booking couriers, responsible for ensuring both incoming and outgoing consignments are received and delivered.
  • Maintain a safe and clean general working area.
  • Perform other general administration duties for the facilities department as may be required.

Ad-hoc Duties:

  • Update daily & weekly logs as required and issue to Management.
  • Consistently demonstrate ways to improve processes.
  • Perform other general administration duties as may be required of you given the broad nature of the role and the time available

Essential Hiring Criteria:

  • Excellent customer service
  • Strong communication (verbal & written) and interpersonal skills experience
  • Good organisational and administration skills and ability to prioritise workload efficiently
  • Microsoft Office products including MS Word, Excel, PowerPoint and Outlook
  • Ability to multitask and keep multiple customer issues in progress at once
  • Problem solving skills
  • A flexible attitude and a proven record as a strong team player
  • Utmost discretion and confidentiality in all matters relating to work is essential
