Job summary

Gates Hudson is seeking a detail-oriented Property Operations Coordinator to support the day-to-day management of a mixed-use portfolio, including commercial/retail assets and residential communities.

This role serves as an operational liaison between retail tenants, property management teams, vendors, and internal stakeholders, with primary responsibility for maintenance coordination, shared expense administration, reporting, and compliance support.

Qualifications

• Prior experience in property management, real estate operations, or facilities coordination in mixed-use environments.
• Familiarity with property management systems such as NetVendor, Nexus, and Canopy.
• Ability to manage multiple priorities across commercial and residential assets.
• Excellent communication with tenants, vendors, and internal stakeholders.
• Willingness to provide after-hours on-call support for maintenance emergencies.
• Strong organizational skills and attention to detail for reporting.

Responsibilities

• Serve as primary contact for retail tenants and management teams on maintenance needs.
• Respond to maintenance requests during business hours and coordinate with NetVendor and on-site teams.
• Provide after-hours availability by phone for emergency maintenance; dispatch and log incidents.
• Communicate status updates to retail tenants and managers until resolution.
• Prepare and submit retail-related incident reports and coordinate property-wide projects.
• Coordinate CapEx and cross-asset activities with leadership; attend required meetings.
• Process shared invoices and assist with monthly expense reporting and client reports.
• Support residential compliance tasks, renewal tracking, and Canopy submissions.
