Job summary

WSP USA in Herndon, VA seeks a Project Coordinator to support project managers and teams through the lifecycle, keeping schedules, QC deadlines, and deliverables on track. You will enhance communication with the team and client, manage documents, and assist with RFIs and submittals.

The role demands proactive organization, attention to compliance, and the ability to juggle multiple tasks while maintaining accuracy. Proficiency with MS Office and collaborative tools is expected.

Qualifications

• Experience coordinating multiple deadlines and deliverables.
• Strong written and verbal communication skills.
• Proficiency with MS Office applications (Word, Excel, PowerPoint).
• Familiarity with project document management tools is a plus.

Responsibilities

• Coordinate with project team to meet proposal deadlines and complete reviews.
• Support the project manager with internal communications and follow-up.
• Maintain project calendar with deliverables and QC deadlines.
• Assist in scheduling internal team meetings and design reviews.
• Review project financial reports and communicate issues.
• Create and maintain project file storage and Smart Sheets.
• Track invoices and project payments.
• Assist in preparing materials for project pursuit.
• Process contracts and sub-consultant contracts.
• Attend meetings and distribute notes with stakeholders.
• Generate project financial management reports and track scope changes.
