Job description

The Ministry Operations Lead is a proactive, systems-minded leader who brings clarity, structure, and follow-through to Concord Church’s ministries. This role leads shared processes for ministry communication, planning, reporting, documentation, and cross-functional coordination, helping ministries operate with consistency and excellence.

Working across ministries, this role anticipates needs, builds practical solutions, and drives work forward with minimal direction. The ideal candidate is highly organized, collaborative, and energized by creating order, improving how teams work, and helping leaders turn vision into organized execution.

Supervisory Responsibilities

This role has no staff supervisory responsibilities but provides leadership, coordination, and development for Next Steps Room volunteers.

Essential Functions
Ministry Coordination & Communication
  • Build and maintain the shared Ministry calendar, partnering with Ministry Directors, Pastors, and Managers to ensure key programs, events, launches, deadlines, and leadership rhythms are accurately reflected and visible.
  • Own and distribute the weekly Ministry Team communication, proactively gathering key updates, deadlines, events, reminders, and action items from Ministry Directors, Pastors, and Managers.
  • Track shared ministry priorities and commitments, driving follow-through with responsible leaders to support timely execution.
  • Drive operational follow-through for cross-functional ministry initiatives, partnering with Marketing, Finance, People & Culture, Operations, and other church teams as needed.
  • Participate in assigned Ministry Leadership Team and other leadership meetings to maintain visibility into ministry priorities, decisions, and information needed for effective coordination.
Ministry Documentation
  • Own the development and ongoing maintenance of the Ministry Team Playbook, creating a centralized and accessible resource for ministry processes, standards, workflows, roles, and key operating information.
  • Partner with Ministry Directors, Pastors, and Managers to document established processes and translate ministry practices into clear, consistent, and usable procedures.
  • Establish documentation standards and templates that strengthen clarity, continuity, and scalability across ministries.
  • Lead a regular review and update process, identifying documentation gaps and ensuring Playbook content remains accurate and current.
Ministry Planning & Staff Development Support
  • Lead the administration and execution of the annual ministry and goal-planning process, establishing workflows, managing timelines and submissions, and driving follow-through within the framework established by the Ministry Leader.
  • Coordinate administrative and logistical support for Ministry Team and staff-wide development experiences, including scheduling, materials, communication, evaluations, and follow-up.
  • Coordinate Ministry Team team-building activities and outings, managing logistics, communication, and execution in alignment with established priorities.
  • Support the Leadership Summit, church-wide Leaders Meetings, and other leadership development initiatives under the strategic direction of the Ministry Leader.
Reporting & Accountability
  • Lead the recurring ministry reporting process, establishing collection rhythms, managing deadlines, and ensuring required information is prepared for leadership review.
  • Compile reporting inputs and prepare initial drafts or summaries for impact reports, Elder reports, and other ministry-wide reporting needs.
  • Partner with the Data Analyst and Ministry Directors to ensure ministry information is accurate, consistent, and submitted on time.
  • Support preparation of presentations and materials for congregational, staff, Elder, and leadership communication.
Next Steps Room
  • Own and lead the Sunday Next Steps Room, ensuring a welcoming, informed, and organized environment where members and guests receive guidance on ministry opportunities and appropriate next steps.
  • Recruit, equip, schedule, and develop Next Steps Room volunteers, maintaining clear expectations, communication, and current ministry information.
  • Partner with Ministry Directors, Pastors, and Managers to maintain accurate resources and referral pathways for Grow Groups, serving, classes, events, and other ministry opportunities.
  • Track common questions and connection trends, surfacing insights that can strengthen ministry communication, systems, and member experience.
Ministry Administration
  • Provide administrative and coordination support for assigned Ministry Leader meetings, priorities, and ministry-wide initiatives.
  • Coordinate approved purchases, orders, gifts, acknowledgments, and assigned financial administrative processes, including purchase requests, receipts, reimbursements, and related documentation in partnership with Finance.
  • Attend and successfully complete all training required by Concord Church.
  • Perform other duties and special projects as assigned by the Ministry Leader.
Skills Required
  • Exceptional organizational and project-management skills, with the ability to manage multiple workstreams, timelines, and deadlines simultaneously.
  • Strong systems thinking, able to design, document, and improve processes that bring consistency and scalability across teams.
  • Excellent written and verbal communication skills, including the ability to draft clear reports, summaries, playbooks, and presentations for varied audiences (staff, leadership, Elders, congregation).
  • Self-directed and proactive, able to anticipate needs and drive work forward with minimal direction.
  • Strong cross-functional collaboration skills, comfortable partnering across ministries and departments such as Marketing, Finance, People & Culture, and Operations.
  • Detail-oriented with a high standard of accuracy in documentation, reporting, and data.
  • Skilled in facilitation, coordination, and follow-through, with the ability to hold others accountable to commitments with professionalism and grace.
  • Proficiency with productivity and collaboration tools (e.g., Microsoft 365, shared calendars, project-management or documentation platforms).
  • A heart for ministry and alignment with the mission, vision, and values of Concord Church.
Education and Experience
  • Bachelor's degree in Business Administration, Organizational Leadership, Ministry, Communications, or a related field (equivalent combination of education and experience considered).
  • 3-5 years of experience in operations, project coordination, ministry administration, or a related role, preferably within a church, nonprofit, or mission-driven organization.
  • Demonstrated experience building and maintaining processes, documentation, calendars, or playbooks.
  • Experience coordinating events, meetings, or development experiences from planning through execution.
  • Active, growing faith and commitment to the mission and values of Concord Church.
Physical Requirements
  • An employee in this position primarily works in an office environment and is generally sedentary.
  • An employee in this position is required to walk, hear, speak, and stand to interact with children, parents, staff, members, and volunteers.
  • Work is conducted in a fast-paced, rapidly changing environment.
  • A flexible schedule is required since this position requires evening and weekend work. This position may be expected to work overtime.
