Job description

The Ministry Coordinator, Care provides clerical and administrative assistance supporting the Care Ministry. The Ministry Coordinator is responsible for intake which includes meeting the members, the public, answering questions, and providing information on funeral services and benevolence.

Supervisory Responsibilities

This is an individual contributor role with no supervisory responsibility.

Essential Functions

• Maintain the Congregational Care List by contacting members for updated information by checking the pastoral care email inbox, regarding hospitalizations and funeral services for accuracy weekly.
• Manage logistics for funeral services including sending order of service template to families, scheduling rooms, booking caterer, greeting funeral home, maintaining supplies for repast team (inventory management and serving during repast as needed). Submit check requests for repast food payments.
• Answer telephones courteously and in a polite manner, assisting on funeral, memorial and other services or ceremonies as requested by the Pastor, Care.
• Communicate to staff/team upcoming funerals and needs.
• Coordinate hospital visits with members.
• Prepare travel arrangements for out-of-town funerals for Pastors, Elders, Deacons, and Deaconess as requested/approved (hotels, vehicle reservations, air travel).
• Maintain flow of mail outbound/received (mainly returned sympathy cards from members)
• Receive and process benevolence applications and serve as point of contact for all inquiries.
• Interview applicants to determine need and record information from applications for summary reports. Conduct information verification with vendors (utility company/leasing manager), fax and email pledges to appropriate vendors. Submit check requests through Bill.com.
• Distribute checks to approved applicants via mail or by personal retrieval of applicant.
• Attend and successfully completes all training required by Concord Church.
• Perform other duties as assigned.

Skills Needed

• Hospitality – Provide a friendly, warm environment for guests and staff in person, over email and via phone.
• Communication – Must have strong communication skills, able to explain processes and procedures to guests who are calling with questions.
• Organization – Must have strong organization skills for both hard copy documents and soft copy files.

Education and Experience

• This position requires an Associate’s degree from an accredited college or university.
• Two-Three (2-3) years of clerical, secretarial, or office experience.
• Strong verbal and written communication skills.
• Comfortable with routinely shifting demands.
• High degree of attention to detail.
• Working knowledge of general office equipment.

Physical Requirements

• An employee in this position primarily works in a typical office or sanctuary environment, is generally sedentary, and uses computers, calculators, phones, and other office equipment to draft documents, communicate with church staff, and fulfill other position duties.
• An employee in this position is required to walk, hear, speak, and stand to conduct sermons and minister to the members (both at the main church and at remote locations). Work is conducted in a fast-paced, rapidly changing environment.
• The ability to manage stress, build professional and collaborative relationships, and reason through both complex church business situations and profound personal crises that members may experience is required.
• A flexible schedule is required since this position requires evening and weekend work due to scheduled events.

Travel Requirements

• Minimal travel required for this position. A valid Texas drivers’ license and acceptable motor vehicle record is required.
