Job summary

SanMar is seeking a Merchandise Sample Administrator to own and improve the sample flow through the Marketing Team, especially the Photo Studio. You will manage the sample tracking system, coordinate products and styling pieces for photo/video shoots, and collaborate with cross-functional teams to ensure items arrive on time.

You will serve as the primary merch/sample contact, handle scheduling challenges, and maintain documentation for SOPs.

• 4–6 years in administrative/merchandise coordination or equivalent education
• Strong work ethic and leadership qualities
• Clear, diplomatic communication with internal and external teams
• Efficient time management and ability to meet deadlines
• Excellent organizational skills and attention to detail
• Independent with minimal direction and strong follow-through
• Willingness to learn quickly and adapt to change

Responsibilities

• Maintain merchandise sample library and data in Creativeforce
• Serve as primary merch/sample status contact and prepare weekly reports
• Provide backup options for shoots and problem-solve when items are unavailable
• Determine shoot-by-shoot logistics and ensure timely delivery of samples
• Collaborate with Producer to create weekly production schedules
• Organize and track styling pieces, products, and props onsite
• Track unique samples and ensure stakeholders have access at each step
• Enter new products and orders into the tracking system and manage packing/shipping
• Store samples post-shoots with detailed records for potential reshoots
• Create and maintain SOPs for sample management
• Tag items for long-term scanning and correct product information
• Move products across Eastpointe, Preston, and Seattle locations as needed
• Develop colorway/sample options for expanded sizes with partners and teams
• Maintain asset upkeep and communicate issues to stakeholders and Studio Ops manager
• Occasional weekend/on-call duties during shoots
• Perform other duties and comply with policies
