IN SUMMARY
An MEP Assistant Project Manager / Project Manager is expected to understand assigned Clients and their requirements; deliver accurate, coordinated MEP construction documents; maintain project schedules and quality; and support the development of MEP Designers and Project Leads. An Assistant Project Manager performs these duties under the guidance of a Project Manager, while a Project Manager independently assumes overall responsibility for assigned Clients, projects, team performance, and project outcomes.
The following are the basic responsibilities of an MEP Assistant Project Manager / Project Manager (including, but not limited to):
1. Client & Project Management
- Understand assigned Clients’ needs, drawing standards, schedules, approval requirements, and expectations; serve as the day-to-day Client contact as assigned.
- Maintain responsive, accurate communication with Clients, consultants, contractors, vendors, and internal teams; keep stakeholders informed of progress, revisions, and potential delays.
- Manage and update Client templates, prototypes, distribution lists, procedures, and standard checklists; correct recurring errors promptly.
- Gather project information at kickoff, confirm scope and due diligence, identify design constraints, and establish deliverables and milestones.
- Maintain current job lists and project schedules; track progress, priorities, deadlines, landlord and city comments, and required approvals.
- Monitor project quality, efficiency, and scope; proactively identify and resolve coordination issues.
- Assist with project scopes, fee estimates, proposals, and contracts; Project Managers independently lead these efforts as assigned.
- Support project billing and determine billable versus non-billable work; manage Client receivables, payables, and purchasing approvals when assigned and authorized.
- Coordinate assignments and workloads for MEP Designers and Project Leads; ensure each team member understands the scope, schedule, and expectations.
- Remain accountable for the quality and completion of assigned team work; Project Managers have overall responsibility for their projects and teams.
- Review work and redlines thoroughly, explain corrections, and reduce repeat mistakes through coaching and clear feedback.
- Teach Designers and Project Leads to research codes, resolve drawing and city-comment issues, and manage their own time effectively.
- Check in regularly on progress; redistribute tasks or assist directly with drafting, coordination, and revisions when deadlines are at risk.
- Be accessible, patient, fair, and consistent; encourage collaboration and professional growth.
- Assist with training new team members and, when assigned, employee evaluations and hiring activities.
- Coordinate staffing and overtime needs with the supervising Project Manager or department leadership; Project Managers authorize these matters within delegated authority.

- Prepare, review, and return drawing redlines promptly; communicate review delays and prioritize revisions to meet due dates.
- Assign and track preliminary, permit, and revision packages; coordinate comments, resubmittals, and approvals.
- For MEP-only projects, coordinate project setup, schedules, assignments, and deliverables; Project Managers own final scheduling and accountability.
- Perform site surveys and assist with field-condition assessments as required.
- Support quality-control reviews and confirm that Client standards, scope requirements, and project deliverables are satisfied before issue.
4. Additional Responsibilities
- Represent PDMS Design Group professionally in Client meetings, site visits, and outside interactions.
