Job summary

RWJBarnabas Health is seeking an Infrastructure MEP Project Coordinator in New Jersey to support the MEP Project Management team. You will manage project documentation, RFIs and submittals, coordinate procurement, and ensure on-time material delivery to the job site.

The role emphasizes strong organizational skills, communication with field teams and engineers, and maintaining accurate digital and hard-copy files within the project management system. Healthcare facilities experience is a plus.

Qualifications

• Required: Associate's or Bachelor's degree in Construction Management, Engineering, Business Administration, or related field; equivalent direct experience considered.
• Minimum of 2–4 years of experience in a construction support role.
• Preferred: experience on MEP projects (mechanical, electrical, plumbing).
• Preferred: experience in infrastructure, healthcare, data centers or complex facilities.
• Preferred: proficiency with construction management software and Bluebeam Revu.

Responsibilities

• Serve as the central hub for all project documentation: drawings, specifications, submittals, RFIs, and change orders.
• Manage log, tracking, and distribution of RFIs, submittals, and material submittals to architects, engineers, and clients.
• Assist in preparing and processing change order documentation with quotes and details from subcontractors.
• Maintain accurate project files in hard copy and digital formats within the PM software.
• Prepare and distribute meeting agendas, minutes, and action item logs for project meetings.
• Assist Project Manager in procurement: collecting quotes, issuing purchase orders, tracking delivery of major equipment and material.
• Coordinate with vendors and subcontractors to ensure timely delivery of materials to site.
• Track deliveries against project schedule and report delays.
• Act as a key communication link between project manager, field superintendents, subcontractors, and engineers.
• Assist in preparation of daily, weekly, and monthly progress reports for management and client.
• Help collect and organize close-out documentation: O&M manuals, as-built drawings, warranty information.
• Support safety documentation and orientation tracking as needed.
• Help maintain logs for quality control and commissioning activities.
• Ensure all documentation complies with company standards and project-specific requirements.
