Job summary

Jackson & Blanc, Southern California’s leading mechanical systems specialist, is seeking a Project Coordinator to support scheduling, documentation, procurement, and closeout activities for commercial, industrial, and institutional projects.

You will work with a team to maintain drawings, manage submittals, RFIs, change orders, and ensure on-time delivery of equipment and materials, while keeping accurate records in a paperless office environment.

Qualifications

• Working knowledge of Microsoft Office with proficiency in Word and Excel.
• Proficiency with ERP system Labor Chart and Procore.
• Excellent attention to detail and ability to catch and fix errors.
• Effective communication skills, both written and verbal, for collaborating with team members and following up with appropriate parties as needed.
• Ability to direct, assist and give feedback to team members.
• Problem-solving skills and the ability to identify and resolve discrepancies.
• Strong organizational and task management skills and the ability to recognize and meet deadlines.
• At least 4 years in construction, engineering or similar field.

Responsibilities

• Assist in project scheduling milestones and ensure that all equipment and materials are on the job site when needed.
• Identify and resolve obstacles related to the project to ensure proper starting and closing out the project according to the approved schedule and budget.
• Create and maintain project documents within a paperless office environment utilizing integrated software systems and network server file system.
• Provide project documentation for all assigned projects including submittals, close out documents, daily reports, change order tracking, and equipment delivery logs.
• Utilize integrated software systems to process and track subcontracts, change orders, drawings, RFIs, submittals, invoices, and insurance certificates.
• Prepare trade contracts and bid packages and assist with the procurement process.
• Effectively present information and respond to questions from colleagues, customers, subcontractors, consultants, and vendors.
• Oversee shop drawing, submittal and construction drawing approvals, documentation, and coordination.
• Maintain a current set of drawings and specifications at all times and make them available to the project team.
• Assist with owner pay application preparation and processing; assist with cost estimate database under the direction of the project manager.
• Manage the project closeout process including punch list data entry; creation of Operation & Maintenance manuals and the distribution of Record Drawings.
