Jackson & Blanc is seeking a Project Coordinator to support the Project Manager and team in planning, coordinating, scheduling, and cost accounting for commercial construction projects in Southern California.

Role requires strong MS Office skills, Procore experience, and at least 4 years in construction, engineering, or a related field. The position is on-site in San Diego with opportunities to collaborate across departments and with subcontractors.

Responsibilities

  • Assist in project scheduling milestones and ensure materials are available on site.
  • Create and maintain project documents, submittals, daily reports, and logs.
  • Process subcontracts, change orders, drawings, RFIs, invoices, and certificates.
  • Prepare trade contracts and assist with procurement.
  • Attend internal meetings and distribute minutes as needed.
  • Support owner pay applications and cost estimates under the Project Manager.
  • Manage project closeout including punch lists and O&M manuals.

Provide project support to the Project Manager and/or team to facilitate the planning, coordinating, scheduling, and cost accounting of commercial construction projects in accordance with Jackson & Blanc R.A.I.S.E. values.Prepare, maintain, and present information from all aspects of the project from start to finish. This individual supports the team’s workflow to meet the set schedule and customer expectations.

JOB DETAILS:
  • Responsible for facilitating in the construction of the project including but not limited to, assisting in project scheduling milestones, ensuring that all equipment and materials are on the job site when needed.
  • Identify and resolve obstacles related to the project to ensure proper starting and closing out the project according to the approved schedule and budget.
  • Create and maintain project documents within a predominately paperless office environment utilizing integrated software systems and network server file system.
  • Provide project documentation for all assigned projects including but not limited to submittals, close out documents, daily reports, change order tracking, and equipment delivery logs.
  • Utilize integrated software systems to process and track subcontracts, change orders, drawings, RFI’s, submittals, invoices, and insurance certificates.
  • Prepare trade contracts and bid packages and assist with the procurement process.
  • Effectively present information and respond to questions from colleagues, customers, subcontractors, consultants, and vendors.
  • Oversee shop drawing, submittal and construction drawing approvals, documentation, and coordination.
  • Maintain a current set of drawings and specifications at all times, clearly making these documents available to the project team, internally & externally.
  • Compose and/or edit communications (letters, memos, reports, procedures, etc.) as required by Project Manager/Project Staff
  • Prioritize and plan work activities, develop realistic action plans, maintain workflow and procedures.
  • Build and maintain relationships with designers/consultants, corporate services, vendors and subcontractors.
  • Conduct general administrative duties, such as calendaring, correspondence, scanning, copying, data entry, supply requisitions, delivery coordination, etc.
  • Act as liaison between project manager/project staff and others, such as Corporate Services, external contacts, customers, etc.
  • Arrange and participate in internal project meetings in coordination with project
  • Quickly responds to any job-specific accounting questions or issues.
  • Assist with owner pay application preparation and processing to exact schedule requirements; assist with cost estimate database under the direction of the project manager.
  • Manage the project closeout process including punch list data entry; creation of Operation & Maintenance manuals and the distribution of Record Drawings, as required.
  • May assist Project Manager/project staff in planning the work schedule and arranging for assignment of project personnel and equipment as needed to ensure project progresses on schedule and within prescribed budget, depending on project
  • Constant prioritization of workload is necessary to meet project goals.
  • Identify and implement cost or time savings
  • As necessary, attend weekly meetings, generate minutes, and distribute, as necessary.
  • Exhibit objectivity and openness to others’ views; contribute to building a positive team culture.
QUALIFICATIONS
  • Working knowledge of Microsoft office with proficiency in Word and Excel
  • Proficiency with the company ERP system, Labor Chart and Procore
  • Excellent attention to detail and ability to catch and fix errors.
  • Effective communication skills, both written and verbal, for collaborating with team members and following up with appropriate parties as needed.
  • Ability to direct, assist and give feedback to team members.
  • Problem-solving skills and the ability to identify and resolve discrepancies.
  • Strong organizational and task management skills and the ability to recognize and meet deadlines.
  • At least 4 years in construction, engineering or similar field
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS

Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards. Must have the ability to lift and small carry parcels, packages and other items, to walk short distances, and sit for extended periods of time.
