Qualifications

Job description

Medical Support Assistant


Prometheus Federal Services (PFS), a trusted partner to federal health agencies, has an opening for multiple Medical Support Assistants. The work will be on-site at the Alamosa / San Luis Valley VA Outpatient Clinic in Alamosa, CO.


Essential Duties and Responsibilities

  1. Medical Support Assistants are the designated scheduler / receptionist responsible for the performance and coordination of appointment scheduling in accordance with the VHA Directive 1230, Outpatient Scheduling and Process and Procedures.
  2. Works with Lead Scheduler and scheduling / reception team to ensure all schedulers / receptionists are competent and represent the VA in a positive, proactive demeanor.
  3. Works with Lead Scheduler to achieve all patient communications are completed on time and appropriately.
  4. Coordinates and authorizes Veteran care with community providers that the VA does not supply or cannot supply timely.
  5. Communicates with internal medical providers on rules and regulations for VA Community Care and advises on appropriate processes.
  6. Notifies his/her Supervisor when automated systems are not performing as needed.
  7. Validates and updates patient demographic information.
  8. When records are received, ensure all necessary health / administrative information are processed to be integrated into Computerized Patient Record System (CPRS) and the Veterans Health Information Systems and Technology Architecture (VistA).
  9. Properly process community care consults via Health Share Referral Manager (HSRM) and Provider Profile Management System (PPMS) systems and / or other systems as needed.
  10. Screens / receives phone calls in a courteous and timely manner.
  11. Responds to telephone inquiries regarding delivery of services.
  12. Daily computer use of Microsoft Office products to include Excel, Word, Outlook and Teams.
  13. Perform appointment scheduling, tracking, pre and post-appointments contacts are required.
  14. Perform quality customer service for all patients, patient families, VA staff, contractors, physicians, fellows and residents.
  15. Other duties as assigned.

Minimum Qualifications

  1. Minimum of six (6) months of recent customer service experience.
  2. High School education or GED equivalent.
  3. Proven ability to speak, understand, read, and write English fluently.
  4. Authorized to work in the U.S. indefinitely without sponsorship (all jobs).
  5. Basic computer skills.
  6. Type at least 50 WPM.
  7. Ability to obtain a public trust.
