Responsibilities

  • Review, scan, index, and upload records into the EMR system with accuracy.
  • Handle medical record requests from patients, attorneys, insurers, and clinicians.

Job Title:Medical Records Technician

Summary
The Medical Records Technician supports the operational, compliance, and records management functions of the Medical Records department. This role is responsible for maintaining electronic medical records, processing medical record requests, managing incoming and outgoing correspondence, ensuring document accuracy, and supporting regulatory compliance. The Medical Records Technician partners with patients, providers, attorneys, insurance companies, clinics, hospitals, and internal departments to ensure accurate record management, timely information release, and exceptional customer service.

Essential Duties and Responsibilities

  • Process and distribute incoming and outgoing mail, correspondence, and document requests for the organization.
  • Maintain and organize patient medical recordsin accordance withHIPAA, state regulations, federal regulations, and organizational policies.
  • Review, verify, scan, index, and upload medical records into the electronic medical record system while ensuring document accuracy and completeness.
  • Process medical record requests from patients, attorneys, insurance companies, physicians, clinics, hospitals, and other authorized entities.
  • Respond to incoming telephone calls, emails, and inquiries related to medical records requests and departmental operations.
  • Coordinate retrieval of archived medical records, imaging studies, and other records from offsite storage vendors.
  • Serve as a liaison between providers, staff, patients, and external organizationsregardingmedical record requests and documentation needs.
  • Support mailroom operations andmaintainefficient processing of daily departmental workflows.
  • Assist with courier responsibilities and document transportation activities as needed.
  • Maintainaccuraterecords of medical record requests, releases, correspondence, and document tracking activities.
  • Monitor departmental turnaround times, service levels, compliance standards, and operational performance metrics.
  • Ensure compliance with HIPAA, medical record retention requirements, release-of-information standards, and organizational policies.
  • Collaborate with Clinical Services, Revenue Cycle, Operations, Human Resources, and other departments to resolve records-related issues and improve workflows.
  • Identifyprocess improvement opportunities and implement operational efficiencies to support departmental performance and customer service goals.
  • Other duties as assigned.

Qualifications

  • High school diploma or equivalent required.
  • Minimum1 year of experience in medical records, healthcare administration, customer service, or a healthcare office environmentrequired.
  • Knowledge of medical records management, healthcare operations, document retention practices, and HIPAA regulations preferred.
  • Experience with Athena EMR, Microsoft Office Suite, electronic document management systems, and healthcare information systems preferred.
  • Strong organizational, communication, customer service, and problem-solving skills.
  • Ability to manage multiple priorities whilemaintainingaccuracy, confidentiality, and attention to detail.
  • Ability to work independently and effectively in a fast-paced healthcare environment.

Certificates, Licenses, Registrations

  • None required.
  • Certified Electronic Health Records Specialist (CEHRS) preferred.

Physical Demands & Work Environment

Primarily office-based role requiring prolonged computer use, data entry, document management, and frequent communication with patients, providers, and staff. Ability to lift, move, push, and pull up to 50 pounds may be required. Work is performed in a fast-paced healthcare environment requiring strong attention to detail, organization, confidentiality, and customer service skills.

Work Schedule

The anticipated schedule for this position is Monday through Friday; however, work hours may vary based on operational needs, staffing requirements, and departmental priorities. Additional hours may be required to support business operations and service level expectations.
