Community Medical Group seeks a detail-oriented Medical Records Coordinator in Miami to manage intake, organization, and maintenance of medical records in a fast-paced healthcare setting.

You will ensure accuracy, proper classification, and timely availability of records while upholding confidentiality and regulatory compliance.

Qualifications

  • High school diploma or equivalent required.
  • Experience in medical records, healthcare, or clinical office environment preferred.
  • Experience with Electronic Medical Records (EMR) systems and document management processes.

Responsibilities

  • Process incoming medical records, faxes, scanned documents, and correspondence within established turnaround times.
  • Upload documents accurately into the EMR system with proper patient identification and classification.
  • Review records for completeness, accuracy, duplicates, and dates of service before finalizing uploads.
  • Coordinate and manage medical record requests from internal departments, patients, and external providers.
  • Obtain and upload external records from hospitals, specialists, imaging centers, and other facilities.
  • Track and follow up on outstanding record requests to ensure timely completion.
  • Assist in obtaining prior medical records for new patient appointments.
  • Maintain auditable documentation of requests, follow-ups, and record status in the EMR.
  • Monitor referral and imaging-related documents to support continuity of care.
  • Ensure compliance with HIPAA, patient privacy requirements, and company policies.
  • Meet departmental productivity, accuracy, and workflow standards.
  • Identify opportunities for process improvement and workflow optimization.
  • Perform additional duties as assigned.

Qualifications
  • High school diploma or equivalent required
  • Previous experience in a medical records, healthcare, or clinical office environment preferred
  • Experience working withElectronic Medical Records (EMR) systems and document management processes
  • Knowledge of HIPAA regulations and medical record confidentiality requirements
  • Strong organizational skills and ability to manage multiple priorities effectively
  • Exceptional attention to detail and commitment to data accuracy
  • Strong written and verbal communication skills
  • Ability to work independently and follow established procedures consistently
  • Proficiency with Microsoft Office applications and computer-based systems
  • Knowledge of medical terminology preferred
  • Ability to maintain professionalism and confidentiality when handling sensitive patient information
  • Bilingual in English and Spanish or English and Creole preferred
