Job summary

EmergeOrtho seeks a part-time Medical Records Specialist in North Carolina to maintain and organize patient health records, ensure proper transfer and storage, and support documentation workflows.

Responsibilities include processing requests, pulling charts, scanning documents, and coordinating with staff, physicians, and external retention services while maintaining patient confidentiality and HIPAA compliance.

Qualifications

  • High school diploma or equivalent required.
  • Minimum two years of customer service experience, preferably in a medical office.
  • Comfortable using multiple technology-based communication systems.
  • Excellent verbal and written communication skills.
  • Advanced organization skills and attention to detail.
  • Familiarity with medical terminology.
  • Excellent problem-solving skills.

Responsibilities

  • Handle phone calls regarding medical record documentation.
  • Pull corresponding medical charts and distribute them to appropriate personnel as required.
  • Pull, distribute, and import incoming faxes along with relevant chart documentation.
  • Locate and distribute medical record documentation for staff, physicians, and PA/NPs.
  • Sort and distribute incoming mail appropriately.
  • Scan documentation into patient’s medical record, including dictation, lab work, correspondence from physicians, etc.
  • Coordinate scanning and boxing of medical records with the outsourced record retention service.
  • Purge and process scanned paper medical charts to the outsourced retention service, per policy.
  • Performs other duties as required and assigned by Manager, including schedule changes and travel to office locations as assigned

The Medical Records Specialist is responsible for maintaining patients’ health records, ensuring their information is transferred and stored properly. This role performs a variety of tasks including collecting patient information, issuing medical files, filing records, and processing patient requests.
