Job summary

Tri-City Mental Health Authority is hiring a Medical Records Supervisor to lead the daily operations of the Medical Records department within the Quality, Compliance, and Health Information (QCH) unit in California.

The role ensures security, integrity, and accessibility of client health records, oversees staff, maintains health information systems, and coordinates release of information in compliance with state and federal laws.

Qualifications

• 2 years of supervisory or lead experience in a behavioral health or health information management setting working with medical records.

Responsibilities

• Serve as the primary custodian of client records and oversee the daily operations of the medical records program, including record creation, maintenance, storage, archiving, disclosure/release, retrieval, transport, disaster recovery, and destruction.
• Develop, maintain, and enforce policies, procedures and processes related to medical records.
• Develop and monitor workflows for efficiency and compliance.
• Ensure completeness, accuracy, and timeliness for all client records.
• Ensure proper recording, indexing, scanning accuracy, and data integrity.
• Coordinate with agency staff to resolve deficiencies related to the medical record legal statutes, contract requirements, policies, procedures, and best practices.
• Implement quality control processes for record review and auditing.
• Ensure accurate and timely response to subpoenas and requests for records.
• Transportation or delivery of records, where applicable.
• Maintain logs and documentation of disclosures as required.
• Ensure audit readiness and participate in internal/external audits.
• Support implementation, optimization, and maintenance of EHR systems.
• Ensure agency compliance with all Federal, State of California, County of Los Angeles (LACDMH), and agency statutes, regulations, guidelines, policies, procedures, and protocols related to medical records, protected health information, and personally identifiable information.
• Serve as the custodian of record.
• Performs related duties as required.
