Job summary

Community Medical Group is seeking a detail-oriented Medical Records Coordinator to join our Miami team. You will manage intake, organization, and maintenance of medical records while upholding strict confidentiality and regulatory standards.

Responsibilities include processing and uploading records into the EMR, ensuring accuracy, and coordinating record requests from multiple sources. Strong organization and communication are essential, with bilingual ability preferred.

Qualifications

  • High school diploma or equivalent required.
  • Experience in medical records, healthcare, or clinical office environment preferred.
  • Experience with Electronic Medical Records (EMR) systems and document management.
  • Knowledge of HIPAA regulations and patient confidentiality.
  • Strong organizational skills and ability to manage multiple priorities.
  • Excellent written and verbal communication skills.
  • Ability to work independently.
  • Proficiency with Microsoft Office applications.

Responsibilities

  • Process incoming medical records, faxes, scanned documents, and correspondence within established turnaround times.
  • Upload documents accurately into the EMR system with proper patient identification and classification.
  • Review records for completeness, accuracy, duplicates, and dates of service.
  • Coordinate and manage medical record requests from internal departments, patients, and external providers.
  • Obtain and upload external records from hospitals, specialists, and imaging centers.
  • Track and follow up on outstanding record requests to ensure timely completion.
  • Maintain auditable documentation of requests, follow-up activities, and record status updates.
  • Monitor referral and imaging documentation to support continuity of care.
  • Ensure HIPAA compliance and patient privacy requirements.
  • Meet productivity and accuracy targets; identify process improvements.

Key Responsibilities
  • Processincoming medical records, faxes, scanned documents, and correspondence within established turnaround times
  • Upload documents accurately into theElectronic Medical Record (EMR) system while ensuring proper patient identification and document classification
  • Review records for completeness, accuracy, duplicate status, and correct dates of service before finalizing uploads
  • Coordinate and managemedical record requests from internal departments, patients, and external healthcare providers
  • Obtain and upload external records from hospitals, specialists, imaging centers, and other healthcare facilities
  • Track and follow up on outstanding record requests to ensure timely completion and resolution
  • Assist in obtaining prior medical records for new patient appointments
  • Maintain detailed and auditable documentation of requests, follow-up activities, and record status updates within the EMR
  • Monitor referral and imaging-related documentation to support continuity of care
  • Ensure strict compliance with HIPAA regulations, patient privacy requirements, and company policies
  • Meet departmental productivity, accuracy, and workflow standards
  • Identify opportunities forprocess improvement and workflow optimization within the medical records function
  • Perform additional duties as assigned
Qualifications
  • High school diploma or equivalent required
  • Previous experience in a medical records, healthcare, or clinical office environment preferred
  • Experience working withElectronic Medical Records (EMR) systems and document management processes
  • Knowledge of HIPAA regulations and medical record confidentiality requirements
  • Strong organizational skills and ability to manage multiple priorities effectively
  • Exceptional attention to detail and commitment to data accuracyStrong written and verbal communication skills
  • Ability to work independent
  • Proficiency with Microsoft Office applications and computer-based systems
  • Knowledge of medical terminology preferred
  • Ability to maintain professionalism and confidentiality when handling sensitive patient information
  • Bilingual in English and Spanish or English and Creole preferred
