Job summary

Elite Spine and Sports Physical Therapy in Wilkes-Barre, PA, seeks a friendly receptionist to warmly welcome patients, manage calls, and support front-desk operations. You will use scheduling software and electronic medical records to coordinate appointments and keep the lobby organized and professional.

The ideal candidate has a high school diploma and 1–2 years in reception or administrative roles, excellent verbal and written communication, MS Office proficiency, and a service-oriented

Qualifications

  • High school diploma or equivalent required.
  • 1-2 years reception/administrative or customer service experience preferred.
  • Excellent verbal and written communication skills with strong interpersonal abilities.
  • Proficiency in MS Office Suite (Word, Excel, Outlook) and familiarity with scheduling software.
  • Experience with multi-line phone systems and visitor management systems.
  • Strong organizational and time management skills with the ability to prioritize multiple tasks simultaneously.
  • Professional appearance, demeanor, and telephone etiquette.
  • Customer service-oriented mindset with a genuine commitment to supporting others.
  • Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
  • Detail-oriented with strong problem-solving skills and a proactive approach to challenges.

Responsibilities

  • Greet and welcome patients and clients with warmth and professionalism, ensuring a positive first impression
  • Screen and answer incoming calls, assisting patients over the phone
  • Process incoming and outgoing mail, packages, and deliveries in a timely and organized manner
  • Maintain office supplies inventory, monitor stock levels, and place orders as needed to ensure smooth operations
  • Provide administrative support to various departments and team members
  • Handle routine inquiries with professionalism and discretion, routing problems/questions to appropriate departments
  • Maintain a clean, organized, and professional lobby and reception area at all times, maintain a clean clinic involving laundry, floor cleaning, dusting etc.
  • Utilize scheduling software and electronic medical record systems to assist in scheduling of patients and with patient's chart information
  • Exercise discretion and maintain confidentiality regarding sensitive company and client information

Additional Information

Schedule: Monday-Thursday 10:30-6:30, Friday 8:30-4:30
