The Medical Receptionist (Care Facilitator) at our Olney location is a key first contact for patients. This role involves serving as a patient advocate, delivering exceptional customer service, checking patients in and out, and providing basic administrative support. A successful Care Facilitator is committed to superior service and building trusting relationships with patients.
ESSENTIAL JOB DUTIES/RESPONSIBILITIES:
- Interact appropriately with patients, record information, greet, check-in, check-out, and schedule appointments. Conduct lobby checks for organization and cleanliness.
- Serve as the gatekeeper for PCP and Specialist schedules, ensuring Top 40 patients are scheduled every 13 days.
- Use computer systems to add new patient info, print forms, schedule appointments, respond to emails, and prepare New Patient packets. Ensure contact info is accurate.
- Make “love” calls, mail birthday and greeting cards to patients for special events.
- Answer phones, take detailed messages, and direct messages appropriately.
- Communicate clearly about ChenMed clinical personnel to patients and others.
- Verify insurance via phone or website, collect copays, and assist with follow-up and referral scheduling.
- Escort patients to exam rooms, ensuring their comfort and well-being.
- Act as HEDIS champion, providing visibility of HEDIS needs and reporting hospitalizations and census data.
- Present customer service surveys at checkout and escalate if needed for service recovery.
- Participate in daily and weekly huddles to discuss patient details.
- Manage transportation aspects, including scheduling Uber/Lyft rides, medication and grocery deliveries, and handling driver issues.
Other responsibilities may include:
- Maintaining confidentiality of patient information and records.
- Reviewing patient info for completeness and accuracy.
- Transmitting correspondence via mail, email, or fax.
- Performing other duties as assigned by management.
KNOWLEDGE, SKILLS AND ABILITIES:
- Exceptional customer service and a passion for serving others.
- Knowledge of medical insurance and electronic medical records (EMR).
- Understanding of ChenMed products, services, policies, and procedures.
- Proficiency with phones, computers, and basic IT systems.
- Professional and courteous communication skills.
- Attention to detail for accuracy.
- Excellent verbal and written communication skills.
- Strong listening skills.
- Positive, professional attitude.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
- Willingness to travel up to 10% regionally.
- Bilingual fluency in English & Spanish (spoken and written).
EDUCATION AND EXPERIENCE CRITERIA:
- High school diploma or equivalent required.
- Graduation from a recognized Medical Assistant program preferred.
- At least 1 year of experience in a medical clinic or similar environment required.
- BLS certification preferred.
