Description

Purpose: The primary purpose of the Patient Administrator/Medical Receptionist is to maintain office functions of the Center, including answering phone calls, verifying insurance and Medicare, obtaining authorizations, scheduling patients, and keeping medical records compliant with federal, state, and county guidelines, as well as company policies. The role involves creating a welcoming atmosphere, demonstrating warmth, personal interest, and a calm attitude with staff, patients, and visitors.

Duties

The Patient Administrator/Medical Receptionist will assist patients with check-in/check-out processes, address their needs, collaborate with the Office Manager on special circumstances, and handle payment and billing transactions accurately using established protocols.

Physical, Emotional Demands, and Work Conditions
  • Work is sedentary and ambulant with occasional physical exertion; ability to support patient weight in emergencies; capable of seeing, stooping, sitting, standing, bending, reaching, and mobility.
  • Must have acceptable hearing, verbal and written communication skills, and ability to relate to patients with various mental and physical conditions.
  • Must be emotionally stable, able to cope with multiple situations, and follow universal precautions to prevent infection exposure.
  • Understanding and compliance with workplace violence, ADA, EEOC, and compliance programs are required; work schedule may vary.
Supervision and Competency Evaluations

Conducted through monitoring activities, observations, meetings, and annual reviews.

Core Competencies
  • Payment collection and accurate recording.
  • Patient demographic verification, data entry, and reconciliation of reports.
  • Professional communication and scheduling follow-ups.
  • Submitting prior authorizations, handling medical records per confidentiality standards.
  • Proficiency in Microsoft Word and Excel, accuracy in data entry, proofreading, and maintaining professionalism.
Requirements

Patient Administrator Requirements:

  • High School Diploma or equivalent.
  • Experience in a medical office, preferably in mental health/substance abuse fields; familiarity with electronic health records preferred.

Special Requirements:

Knowledge of applicable regulations, adherence to professional standards, and ongoing education and certification maintenance as required by state and profession.
