Qualifications

Spotless is NYC’s walk-in or by appointment acne clinic, treating acne and only acne.

From pre-teen to adult, hormonal, comedonal, blackheads, cystic, inflammatory, facial, and body acne, we’ve seen and treated it all.

Founded by Dr. Amy Wechsler, one of the few physicians double board-certified in dermatology and psychiatry, and her daughter Zoe, Spotless makes expert acne care fast, effective, and stigma-free. Guided by Dr. Amy’s mind-body approach, our licensed nurse practitioners and physicians assistants are trained to combine dermatology, psychology, empathy, and hospitality to treat acne for what it really is: medical, emotional, and deeply personal.

About the Role

Spotless is looking for a Medical Receptionist who blends hospitality, precision, and pace. The ideal candidate has experience in a fast-moving, four-walled business — think wellness spa, fitness studio, or the front-of-house at a great restaurant or hotel— where delivering a seamless guest experience under pressure is second nature.

You have an entrepreneurial spirit and the drive to help build something differentiated from the ground up. You’re energized by structure and flexibility — happy to follow a playbook, but excited to help write it as Spotless grows.

This role is ideal for someone who thrives in a fast-paced environment and remains calm, anticipating needs, communicating clearly, and bringing warmth and composure to every interaction. As our Medical Receptionist, you’ll lead by doing—setting the standard for patient care and delivering a brand experience people will remember and talk about.

You’re here to make sure every patient experience feels seamless, safe, and spotless. You’ll support clinic operations and, at times, serve as the bridge between our clinicians and patients.

This isn’t a back-office job. You’re on your feet, in the energy. You lead with empathy and make sure both patients and team members feel the impact of how Spotless is redefining acne care.

We are looking for someone who understands that anyone walking through the door may simply need to feel heard and seen.

Responsibilities

• Greet each patient warmly upon arrival and assist with check-in.
• Uphold the Spotless standard of hospitality in every interaction.
• Book, confirm, and manage patient appointments (walk-ins and by appointment) through our scheduling system, Zenoti.
• Coordinate with our clinical team to maintain a smooth daily flow.
• Manage cancellations, reschedules, and same-day adjustments with care and professionalism.

Communication, Administration & Marketing

• Verify patient information and ensure all required forms and consents are completed prior to appointments.
• Answer patient questions about forms, treatments (with our clinical team), policies, pricing & packaging clearly and kindly.
• Support communication between patients and clinicians.
• Serve as a point of contact for patient communications across email, phone, and text.
• Support local marketing initiatives such as community outreach, partner collaborations, and event participation.

Retail & Spot Operations

• Check patients out at the end of their visit with warmth and efficiency.
• Process retail product sales and educate patients on recommended skincare items.
• Support our skincare inventory
• Maintain an organized retail display.
• Prepare the Spot for the day by setting up the front desk, restocking retail products and supplies, and ensuring systems are ready for patient care.
• Maintain a spotless environment throughout the day; Ex. restocking shared and employee spaces (including bathrooms), wiping down surfaces, and ensuring all areas meet cleanliness and safety standards.
• Close by reconciling payments, restocking, tidying, and securing the space.

What You Bring

• 1+ year(s) of experience working in hospitality, healthcare, wellness, or fast-paced service environments
• A steady presence under pressure—calm, clear, and action-oriented
• Passion for hospitality, empathy, and care—your default mode is human-first
• A self-starter mindset—curious, resourceful, and energized by challenge
• Strong communication skills and confidence using scheduling and point-of-sale systems
• Experience working in a startup environment is a plus, but not required

Working Conditions

• This is an in-person role based at our NYC clinics. The work is active, team-based, and patient-facing. You can expect to:
• Be on your feet for a lot of the day, moving between front-of-house and back-of-house responsibilities
• Support physical tasks like stocking, organizing supplies, and resetting treatment rooms
• Occasionally lift up to 25 pounds
• Navigate a fast-paced environment that requires real-time decision-making and multitasking.
• Work clinic hours include evenings, Saturdays, and some holidays.
• Market-competitive compensation: $70,000-$80,000.
