Job description

Townsen Memorial Surgery Center is hiring a full-time Medical Receptionist at our facility in Katy, TX!


The Medical Receptionist is responsible for greeting patients, scheduling appointments, performing clerical duties, and providing medical procedural support. The Medical Receptionist exhibits professionalism while answering inquiries and providing information to the general public, visitors, patients, and other interested parties regarding activities conducted at the establishment and location of departments, offices, and employees within the organization.


ESSENTIAL FUNCTIONS:

  1. Greet patients as they arrive at the facility and provide appropriate information.
  2. Ensure all vendors and visitors are signed in and processed according to facility policy.
  3. Assist patients to complete all necessary forms and documentation, ensuring completeness and accuracy.
  4. Update patients’ information into the database and log all demographics in the EMR system.
  5. Maintain patient accounts by obtaining, recording, and updating personal and financial information into e-clinical.
  6. Obtain revenue by recording and updating financial information, recording and collecting patient charges.
  7. Move patients through appointments as scheduled, notifying the provider of patient arrival.
  8. Answer telephone, assist with inquiries, direct calls and messages to appropriate medical office staff.
  9. Respond and comply with requests for information including sending faxes and e-mails.
  10. Update appointment calendars, schedule and reschedule patients’ appointments.
  11. Support medical staff by completing administrative requirements.
  12. Call patients and remind them of their appointments.
  13. Keep patients’ families informed of patient status.
  14. Manage filing and record-keeping activities.
  15. Create and label appropriate charts for patients, obtaining all necessary documents related to the patient chart.
  16. Ensure the reception area is well maintained, neat, and clean, including the magazines.
  17. Follow all safety rules, report all accidents promptly, and correct minor safety hazards.
  18. Communicate with peers and management regarding any hazards identified in the workplace.
  19. Adhere to the company standards of business conduct, and protect patient and family privacy rights.
  20. Maintain confidentiality of patient records in accordance with policy, procedure, and HIPAA requirements.
  21. Report statistics as required.
  22. Coordinate mail flow in and out of the office.
  23. Maintain stock of forms and office supplies.
  24. Perform other related duties as assigned.

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Exceptional customer service and phone etiquette, communicates professionally with patients.
  2. Demonstrates Customer Service Standards (smiles and makes eye contact, greets each patient and visitor, seeks out patient and visitor contact, always displays appropriate body language, takes 5 minutes each day to go above and beyond for one patient or visitor, honors diversity, and thanks each customer/patient).
  3. Knowledge of administrative and clerical procedures, office procedures, and terminology.
  4. Knowledge of systems such as word processing, managing files, and records.
  5. Knowledge of computers, proficient in Microsoft Office, including Outlook, Excel, and Word.
  6. Strong attention to detail, careful about detail and thorough in completing work tasks.
  7. Ability to maintain composure, keep emotions in check, control anger, and avoid aggressive behavior.
  8. Ability to maintain efficiency in high-stress situations, accept criticism, and remain calm.
  9. Ability to adapt with flexibility, open to change (positive or negative), and to considerable variety in the workplace.
  10. Ability to work independently, guide oneself with little or no supervision, and get things done.
  11. Ability to maintain effective and organized systems to ensure timely patient flow.
  12. Demonstrates polished patient interaction skills, organizational skills, multitasking, and task-oriented skills.
  13. Ability to complete additional educational requirements as assigned by due dates.


EDUCATION AND EXPERIENCE:

  1. High School diploma or GED.
  2. One (1) year of experience in a medical office setting.
  3. Basic Life Support (BLS) certified or must be obtained within thirty (30) days of hire.
