We are currently seeking aFull-Time Medical Receptionist to join PriMED’s Pediatric Office in Huber Heights, Ohio.

The Front Office Receptionist is key to promoting high-quality customer service and ensuring smooth front desk operations in the practice. This role serves as the first point of contact for patients and visitors, managing patient registration, scheduling appointments, check-in and check-out, handling administrative tasks, and supporting financial processes.

The Receptionist is expected to maintain effective communication with physicians, practice management, co-workers, patients, and external vendors. The receptionist must uphold the mission and philosophy of PriMED Physicians and ensure compliance with all policies and regulations.

Receptionist Required Skills & Competencies

  • Administrative Proficiency: Ability to use electronic health record (EHR) and practice management (PM) systems, manage records, and ensure compliance with HIPAA.
  • Problem-Solving: Ability to identify and resolve patient and operational issues effectively.

Patient Services & Front Desk Operations
  • Greet and assist patients and visitors in a courteous and professional manner.

  • Collect and process copays and outstanding balances.
  • Monitor waiting area and communicate delays or issues to clinical staff.
  • Answer multi-line phone calls within 3-4 rings and professionally:
    • Transfer calls to the appropriate staff.
    • Take and relay accurate messages, including patient details and callback information.
  • Schedule appointments following practice guidelines:
    • Confirm patient identity using account details and DOB.
    • Verify patient contact information and provider details.
    • Ensure efficient use of provider schedules and appointment slots.
  • Check-out patients:
    • Accept appropriate payments and process charges.
    • Schedule follow-up visits per provider recommendations.
  • Assist with clerical tasks such as filing, scanning, and records management.
  • Collect patient financial responsibility at the time of service, including copays, deductibles, and outstanding balances.
  • Monitor and balance daily transactions
    • Close and reconcile cash and payment batches at the end of each day.
Receptionist Qualifications, Education and Experience

Education & Certification

  • High School diploma or equivalent required.
  • Certification in Medical Office Administration is preferred.
Experience
  • Minimum of one year of experience in a medical office setting preferred.
  • Experience handling scheduling, insurance verification, and patient billing is a plus.
Professional Expectations
  • Supervision & Teamwork: Ability to work under the direction of the practice manager and physicians.
  • Cooperation & Initiative: Willingness to take on additional responsibilities to improve office operations.
  • Professionalism: Maintain a friendly demeanor and less than three customer complaints per year.
  • Attendance & Punctuality: Arrive on time, adhere to scheduled hours, and comply with attendance policies.
Physical Demands
  • Ability to sit, stand, and walk for extended periods.
  • Frequent stooping, bending, and reaching to access files and office equipment.
  • Ability to lift up to 20 pounds occasionally.
  • 90% indoor office environment, occasional outdoor tasks.
  • Exposure to standard medical office conditions, including minimal bloodborne pathogen risk.
  • Medium risk of eye strain and repetitive motion injuries from computer use.
