Northeast Neuropsychology and Advanced TelePsych are seeking a professional, organized, and customer-focused Medical Receptionist to join our growing behavioral health and neuropsychology practice.
As the first point of contact for patients, families, providers, and referral sources, you will play a key role in creating a welcoming and positive patient experience. This position supports the day-to-day operations of the front office by managing patient check-in, referral intake, patient communications, medical records, and general administrative support. The ideal candidate is detail-oriented, compassionate, and thrives in a fast-paced healthcare environment.
- Welcome patients and visitors in a professional, friendly, and compassionate manner.
- Check patients in for neuropsychological testing, therapy, and medication management appointments.
- Answer incoming phone calls and respond to voicemails, emails, text messages, and patient portal inquiries.
- Route patient inquiries and communications to the appropriate provider or department.
- Assist patients with registration, intake paperwork, and patient portal access.
- Maintain a clean, organized, and welcoming reception area.
- Receive, process, and track incoming referrals.
- Review referrals to ensure all required documentation has been received and follow up on missing information when necessary.
- Keep patients informed regarding referral status, scheduling, insurance review, and appointment readiness.
- Create new patient records in the electronic medical record (EMR) and accurately enter demographic and insurance information.
- Maintain accurate documentation of patient interactions within the EMR.
Medical Records & Documentation
- Scan, upload, and organize patient documentation, including identification, insurance cards, referrals, and completed forms.
- Process incoming and outgoing medical records requests in accordance with HIPAA requirements.
- Prepare, fax, email, and securely transmit authorized medical records and clinical documentation.
- Maintain accurate, complete, and organized electronic patient records.
Administrative Support
- Assist with appointment scheduling, confirmations, reminder calls, and other front office administrative tasks as needed.
- Monitor office supply inventory and notify leadership when replenishment is needed.
- Support daily office operations and perform additional administrative duties as assigned.
Qualifications Required
- High school diploma or equivalent.
- One or more years of customer service, administrative, or office experience.
- Excellent customer service and professional telephone etiquette.
- Strong verbal and written communication skills.
- Excellent organizational skills with exceptional attention to detail.
- Ability to multitask, prioritize competing responsibilities, and remain organized in a fast-paced environment.
- Proficiency with Microsoft Office, Google Workspace, and general computer applications.
- Ability to learn and effectively utilize electronic medical record (EMR) systems.
- Working knowledge of HIPAA regulations and a commitment to maintaining patient confidentiality.
- Ability to work independently while contributing to a collaborative team environment.
Preferred
- Previous experience in a medical office, behavioral health, neuropsychology, psychology, or healthcare setting.
- Experience using electronic medical record (EMR) systems.
- Familiarity with medical terminology and healthcare administrative workflows.
