Title: Office Specialist
Salary: $18.75 per hour
Supervisor: Office Manager
Location: 223 Main St Beacon, NY 12508
Status: Full-Time, Non-Exempt, 40 hours per week
Center Hours: Mon - Fri 8:30am-5:30pm, with one late day either Tues or Thurs 10am-7pm
Function:
- The Office Specialist provides clerical support to an outpatient behavioral health center.
- Greeting clients/visitors, scheduling appointments in-person and via Zoom, reminder calls to clients for appointments, collecting copays and service fees, answering and routing calls, and keeping documentation organized.
- Provide routine clerical services such as filing, photocopying, faxing, maintaining office supplies, sorting, and distributing mail.
- Perform other duties as assigned.
Job Requirements:
- Graduation from high school or possession of a high school equivalency diploma.
- One (1) year of full-time clerical work experience, or completion of a clerical training program including an internship.

Job Responsibilities:
- Scheduling, including checking clients in and out and making reminder calls.
- Performing skilled keyboarding and accurate data entry in an electronic medical record system.
- Providing reception services, including informing clients about procedures, collecting fees, referring calls, and taking messages.
- Accurately recording fee collections and reviewing records for completeness and compliance.
- Scanning and filing materials according to guidelines.
- Maintaining records of time, benefits, employee certifications, and training.
- Providing coverage within and at other clinics as needed.
- Adhering to privacy practices and HIPAA regulations to protect client confidentiality.
- Supporting other Office Specialists to ensure daily tasks are completed.
Competencies:
- Knowledge of grammar, spelling, punctuation, and formats.
- Proficiency with word processing and database management software.
- Understanding office practices for interacting with staff and the public.
- Arithmetic skills for verifying calculations and reporting.
- Ability to operate office automation equipment efficiently.
- Willingness to learn and follow procedures and guidelines.
- Ability to provide basic information and directions to clients and the public.
- Skill in collecting and recording fees accurately.
- Ability to develop collaborative relationships with staff and support program goals.
