Position Overview

The Receptionist is responsible for the smooth and efficient scheduling of office visits in accordance with the templates and parameters set by the physicians, as well as front-end office operations.

Reporting Line

Reports to the Practice Manager.

Key Duties and Responsibilities
  1. Greet patients professionally upon arrival, verify insurance, HIPAA information, and patient demographics, and update records as needed.
  2. Provide excellent patient service and obtain all necessary patient consents.
  3. Collect copayments and balances due at the time of visit.
  4. Verify patient insurance eligibility and co-pay information.
  5. Update patient status in the system and document all interactions accurately.
  6. Answer incoming calls professionally, screen, and direct calls appropriately.
  7. Retrieve and respond to messages from answering services and voicemails, documenting calls in the EMR.
  8. Triages medically appropriate calls to nursing staff or providers.
  9. Handle testing requisitions, schedule ancillary tests, and manage referrals, documenting all follow-up in the EMR.
  10. Schedule and reschedule patient appointments, providing necessary information and instructions.
  11. Update schedules and maximize physician appointment volumes.
  12. Manage incoming documents, scanning, and routing as required.
  13. Provide coverage for Saturday clinics, Flu Clinics, or extended hours as needed.
  14. Maintain professionalism with patients, peers, and staff.
  15. Participate in marketing, customer service, and quality improvement initiatives.
  16. Complete training, report equipment issues, and perform other tasks as assigned.
  17. Handle medical records requests, patient portal information, and non-clinical patient questions.
  18. Manage insurance referrals, authorizations, and provider summaries.
  19. Reconcile daily cash, prepare deposits, and maintain tidiness of work areas.
  20. Attend staff meetings, training, and maintain office operations.
  21. Coordinate with other providers involved in patient care.
Qualifications
  • Minimum 1 year of Medical Receptionist experience.
  • Minimum 1 year of Medent experience.
  • At least 2 years of Customer Service experience.
