POSITION DESCRIPTION:

Serves as a first point of contact for external customers in the office and on the phone, acting as a liaison between external customers and medical staff. Greets, instructs, and assists customers in obtaining needed services within the office and IHA. Obtains and communicates necessary patient and office visit information to billing staff and facilitates efficient patient flow and billing for services.

ESSENTIAL JOB FUNCTIONS:

Not all Medical Receptionists will perform all functions. Some will have targeted responsibilities such as serving Refugee Patient Populations or working on digital campaigns.

Medical Receptionist I Responsibilities
  • Greet all individuals arriving at the office courteously and meet their needs.
  • Obtain patient registration info, verify insurance, prepare charts, and notify clinical staff of patient’s arrival.
  • Complete patient forms, collect payments, and ensure charges are posted.
  • Retrieve and file EMR/paper charts and reports.
  • Answer calls professionally, relay messages promptly.
  • Schedule and confirm appointments per office protocols.
  • Assist with rescheduling clinics and communicate with leadership about overbooks.
  • Send out New Patient paperwork via MyChart or mail.
  • Manage the daily Work Queue.
  • Oversee payment and charge posting accuracy.
  • Support overdue report management and patient outreach.
  • Maintain a neat work and waiting area.
  • Attend meetings and training as assigned.
  • Perform other duties as assigned.

For those working with Refugee Patient Populations, additional responsibilities include intake, scheduling, communication with service providers, coordinating translation services, and data management.

For those involved in Digital Campaigns, responsibilities include following up on applications, sending paperwork, and seminar sign-ups.

  • Complete IHA’s “The Customer” training and adhere to service standards.

  • Maintain confidentiality per HIPAA guidelines.
  • Demonstrate a willingness to take on new responsibilities and embrace diversity.
  • Use resources efficiently and pursue ongoing professional development.

ESSENTIAL QUALIFICATIONS:

High School Diploma or GED; coursework in insurance/billing preferred. Experience in medical or customer service preferred.

POSITION REQUIREMENTS (ABILITIES & SKILLS):
  • Knowledge of insurance verification, medical terminology, and organizational policies.
  • Excellent communication and customer service skills.
  • Proficiency with computers, EMR, Microsoft Office, and navigation.
  • Teamwork, professionalism, organizational skills, and confidentiality.
  • Ability to drive between sites if needed.
MINIMUM PHYSICAL & ENVIRONMENTAL EXPECTATIONS:

Keyboarding, filing, computer work, some walking, standing, lifting under 30 lbs., and good vision and hearing abilities. Work environment is typical office with exposure to contagious diseases and stressful situations.
