Job summary

The Nemours Foundation in Delaware seeks an Administrative Assistant to support clinical teams by scheduling patients, managing correspondence, and coordinating projects. You will handle scheduling, patient information, insurance data, and communications with patients and providers, using EPIC and Qlik as needed.

The role requires strong organizational skills, confidentiality with HIPAA data, and the ability to work independently in a fast-paced environment.

Qualifications

  • High School Diploma required.
  • Associates or Bachelors degree preferred, but will consider equivalent years’ experience.
  • Basic knowledge of HIPAA regulations and ability to maintain confidentiality.
  • Intermediate knowledge of word processing and excel.
  • Excellent verbal and written communication skills
  • Strong organizational and time management skills
  • Solid conflict resolution skills
  • Ability to work independently with minimal supervision.

Responsibilities

  • Provide daily oversight of divisional clinical schedules.
  • Partner with clinical teams to ensure timely follow-up care for patients to optimize schedules, access, and fill rates.
  • Collect, communicate, and document demographic, insurance and/or clinical information required for patient care and revenue cycle.
  • Promptly and courteously manage communications to/from internal and external customers including patients, referring physicians, insurance companies, etc. Triage urgent/non-urgent calls appropriately. Ensure service excellence in all encounters.
  • Connect crisis calls to proper next steps including crisis resources and mobile crisis.
  • Utilizing EPIC and Qlik reporting tools to assess schedule responsibilities.
  • Serve as a liaison between patient, healthcare providers, other members of healthcare team, financial services, billing, and HIM.
  • Daily, open, categorize and distribute incoming correspondence, including mail, faxes, scanned documents, etc.
  • Physical onsite presence as required by Division.
  • Proactively identify problems and opportunities

Job description

Primary Functions:

Facilitate access to care. This includes scheduling of patients at all Nemours sites of service. Maximize template utilization. Manage wait lists and referral work queues to ensure it meets established metrics.
