Job summary

Privia Health is seeking a Medical Office Administrative Assistant to provide essential administrative support for a smooth-running medical office and a positive patient experience. You will answer multi-line phones, schedule and confirm appointments, greet and register patients, verify insurance, collect co-pays, prepare charts, handle mail and billing inquiries, and maintain HIPAA compliance.

Requirements include HS diploma or GED; 1–2 years admin experience (medical office preferred); MS

Qualifications

  • High School Diploma or GED required; Associate's degree or medical administrative assistant certification preferred.
  • Minimum of 1-2 years of experience in an administrative support role, preferably in a medical office setting.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with electronic health records (EHR) systems is highly desirable.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Exceptional customer service and interpersonal skills.
  • Ability to maintain patient confidentiality (HIPAA compliance).
  • A positive and professional demeanor.

Responsibilities

  • Answer multi-line phone systems, direct calls, and take detailed messages.
  • Schedule and confirm patient appointments, manage the appointment calendar, and handle rescheduling requests.
  • Greet and register patients, verify insurance information, and collect co-pays or payments.
  • Prepare patient charts, scan and file medical records, and ensure accuracy and confidentiality of patient data.
  • Process incoming and outgoing mail, faxes, and other correspondence.
  • Maintain office supplies inventory and place orders as needed.
  • Assist with billing inquiries and insurance claims processing.
  • Maintain cleanliness and organization of the reception area and waiting room.
  • Communicate effectively with patients, physicians, and other healthcare professionals.
  • Perform other administrative duties as assigned by the office manager or medical staff.
