This role combines clinical and administrative responsibilities, with a strong emphasis on patient safety, communication, accuracy, and accountability.

Essential Duties and Responsibilities

  • Welcome patients, visitors, and staff with professionalism, warmth, and compassion.
  • Assist providers with patient care, including obtaining medical histories, measuring vital signs, performing venipuncture, administering injections, and providing wound care as directed and within the scope of training and applicable regulations.
  • Prepare patients, treatment rooms, equipment, and supplies for scheduled appointments and procedures.
  • Assist with ketamine infusions and Spravato treatments while prioritizing patient safety, comfort, and adherence to established protocols.
  • Administer or distribute medications as directed by the Physician, Physician Assistant, or Nurse Practitioner, following all medication-handling and controlled-substance procedures.
  • Verify that required patient documentation, including demographics, insurance information, consents, questionnaires, and other treatment prerequisites, is complete before treatment.
  • Maintain a clean, organized, and safe clinical environment in accordance with infection-control standards.

Administrative and Operational Responsibilities

  • Assist with scheduling patient appointments, treatments, testing, and outside consultations.
  • Maintain accurate and timely patient records, treatment documentation, medical charts, and medication dispensing logs.
  • Monitor and follow up with prospective and existing patients through EverPatient, documenting each interaction and updating the appropriate patient stage based on the outcome.
  • Collect patient payments and accurately document transactions in accordance with office procedures.
  • Monitor internal communication channels and respond promptly to messages, requests, and operational needs.
  • Assist with ordering, stocking, and maintaining clinical supplies, office materials, and equipment.
  • Ensure assigned daily and recurring responsibilities are completed accurately and on time.

Teamwork, Compliance, and Accountability

  • Follow all established standard operating procedures (SOPs), HIPAA requirements, infection-control standards, and applicable regulatory and patient-safety guidelines.
  • Communicate patient concerns, safety issues, and operational challenges to the appropriate team member or supervisor in a timely manner.
  • Take ownership of assigned responsibilities, follow through on tasks, and ensure documentation and follow-up are completed before considering a task finished.
  • Identify opportunities to improve workflows, enhance the patient experience, and support operational efficiency.
  • Assist with onboarding and training new employees as needed.
  • Perform additional duties as assigned to support the needs of the practice.

Qualifications

  • High school diploma or equivalent required.
  • Certificate or completion of a medical assisting program accredited by CAAHEP or ABHES preferred.
