Job summary

Circle Surrogacy is seeking a Matching Specialist to partner with Intended Parents during the surrogate-matching journey. You will educate, guide, and coordinate with internal teams to ensure smooth case progression and a positive client experience.

You will manage documentation, maintain CRM records, and proactively address barriers while communicating timelines and next steps to families. A high‑school diploma and strong communication skills are required.

Qualifications

• High School Diploma or equivalent required.
• Strong interpersonal and communication skills for supporting clients through significant decisions.
• Exceptional organizational skills and attention to detail.
• Experience working in a CRM system and managing multiple cases.

Responsibilities

• Provide exceptional customer service to intended parents through professional, compassionate, and timely communication as they await a surrogate match.
• Serve as the primary point of contact for intended parents, answering questions and providing updates throughout the matching process.
• Collaborate with Consultation, Coordination, and cross-functional teams for seamless case transitions.
• Document regular client check-ins in the CRM and use insights to proactively support engagement.
• Educate and prepare intended parents for donor and surrogate matching, including expectations and next steps.
• Collect, review, and track required documentation such as background checks and matching forms.
• Maintain accurate client information by updating CRM fields and documenting interactions.
• Identify potential barriers to matching and escalate concerns to management.
• Facilitate surrogate-to-parent matches in alignment with criteria and program requirements.
• Monitor timelines and communicate wait-time expectations to intended parents with transparency.
