Job summary

Jobtailor is seeking a Medical Scheduler to coordinate same-day and inpatient procedures, tests, and physician appointments in a busy clinic environment. You will manage master schedules, notify care teams, and ensure timely preparation for procedures while maintaining accurate EMR records.

Ideal candidates are highly organized, with strong communication skills and experience in medical terminology and documentation for insurance pre-certifications.

Qualifications

  • Associate degree with 2 years of experience working in a medical setting, or equivalent in education and experience.
  • Familiarity with word processing techniques, database management, and medical terminology.
  • Highly organized, with the ability to prioritize, function independently, and deal with multifaceted aspects of the medical profession.
  • Excellent interpersonal, written, and verbal communication skills.
  • Initiative, discretion, and good judgment desired.
  • Required licensure/certifications: None

Responsibilities

  • Schedule patients for same-day and/or inpatient procedures and surgeries
  • Schedule pre- and post-procedure testing, ancillary services, physician appointments, and other required needs
  • Coordinate appointment, laboratory, testing, procedure, and preparation dates and times with patients
  • Notify physicians, technicians, nurses, and operating room personnel about patient special needs and surgical requirements
  • Enter cases and case information into the master operating room schedule according to the Master Block Schedule
  • Monitor and respond to incoming emails and phone calls from patients, providers, vendors, colleagues, and other customers
  • Support billing staff with documentation for insurance authorizations and pre-certifications
  • Maintain procedure and surgical schedules for physicians and coordinate schedule changes with physicians and clinic leadership
  • Work with clinic leadership on utilization statistics and case volume goals
  • Obtain and deliver required paperwork, radiology films, reports, patient histories, testing, outside documentation, and prior procedure notes
  • Intake, process, upload/scan, and file reports in patient electronic medical records
  • Maintain logs and monthly reports
  • Maintain stock of supplies, brochures, and forms
  • Attend staff meetings and stay current on processes, workflows, and policies
  • Identify workflow and process improvements and collaborate with management to implement changes
  • Collaborate with other schedulers to standardize workflows and processes
  • Perform other duties as assigned
