Qualifications

  • 2–3 years scheduling experience in a hospital or surgery center.
  • Prior anesthesia scheduling exposure is a plus.
  • Proficient with MS Excel and Word for data and reporting.

  • Monitor and update anesthetist start times across campuses.
  • Confirm off-site schedules are entered into QGenda and remain current.
  • Confirm weekly room counts for off-site locations.
  • Compile and distribute next-day schedules and reports.
  • Prepare weekly off-site location staffing overviews.
  • Monitor future staffing needs using vacation, call, and projection data.
  • Maintain cross-coverage data and ensure compliance with timelines.

Job description

  • Maintain daily schedules and process schedule updates
  • Interact with hospital OR scheduling teams and management
  • Maintain positive relationships with facilities partnered with USAP
  • Produce and maintain anesthetist hours, daily peel-off, and schedules for all campuses and off-site locations
  • Recognize time gaps and question time inconsistencies
  • Monitor and update anesthetist start times
  • Assess schedules, anticipate issues, and communicate with providers
  • Confirm off-site schedules are entered into QGenda and remain current
  • Confirm weekly room counts for off-site locations
  • Compile and distribute next-day schedules
  • Prepare weekly off-site location overviews for staffing
  • Monitor future staffing needs using vacation, call, and projected-needs data
  • Maintain cross-coverage data
  • Ensure in-house schedules are completed accurately and on time
  • Provide weekly, monthly, or quarterly reports as requested
  • Perform other duties as assigned
Requirements
  • Associate’s degree required; bachelor's degree preferred
  • 2-3 years of hands-on scheduling experience in a hospital/surgery center or high-volume surgery practice, or an equivalent combination of education and experience required
  • Previous lead or senior scheduling level experience preferred
  • Prior experience in anesthesia scheduling preferred
  • Certification in medical terminology is helpful
  • Working knowledge of scheduling, general physician practices, hospital operating room workflows, computers, MS Excel, and Word
  • Ability to collaborate with physicians, staff members, and external customers
  • Strong problem-solving skills
  • Strong attention to detail
  • Ability to perform the physical requirements, with or without reasonable accommodation
