Job summary

Hutker Architects, Inc. is seeking an Office Administrator for our Martha’s Vineyard studio. This in‑office role supports studio leadership, the Director of Operations, and cross‑firm teams, ensuring smooth daily operations and a welcoming environment for colleagues, clients, and visitors.

The position offers 30–40 hours per week with a guaranteed 40‑hour baseline and a Monday–Friday schedule. Salary range $65,000–$80,000 annually, with a housing stipend to support living on MV.

Qualifications

• This role requires at least 2 years of administrative or office support experience.
• Proficiency in Microsoft Office and virtual meeting platforms is essential.
• Strong communication, organizational, and time management skills are needed.

Responsibilities

• Serve as a welcoming first point of contact for clients, visitors, and callers; manage voicemail and route inquiries.
• Support leadership with scheduling, travel, correspondence, client meetings, timesheets and expense reports.
• Coordinate internal, external, and virtual meetings; prepare conference rooms and materials.
• Assist project teams with client meeting prep and admin tasks.
• Track continuing education credits and coordinate architectural license renewals.
• Coordinate studio events, learning sessions, team gatherings, and celebrations.
• Provide administrative support to Marketing, HR, Operations, and IT as needed.
• Support onboarding/offboarding and maintain internal records; update SharePoint and resources.
• Manage mail, shipping, office supplies, equipment maintenance, and local errands.
• Maintain an organized, tidy, welcoming office and conference rooms.
• Coordinate building maintenance with property managers, vendors, and technicians.
