Job summary

Heritage Auctions is seeking a highly organized Marketing Project Coordinator to manage multiple projects across auction categories. You will serve as the daily point of contact between category reps and Marketing, gathering requirements, organizing requests, tracking progress, and ensuring timely delivery through design, approvals, and production.

Responsibilities

• Coordinate a high volume of marketing projects across multiple auction categories, tracking overlapping deadlines.
• Gather project requirements, copy, images, specs, and approvals; follow up when information is missing.
• Create and maintain accurate project requests, schedules, and status updates in Robohead.
• Coordinate print ads, direct mail, brochures, and other marketing materials per plans and timelines.
• Monitor progress daily, identify delays, and take action to avoid missed deadlines.
• Route proofs, communicate revisions, and secure final approvals.
• Lead regular check-ins with category reps to review upcoming projects and priorities.
• Explain deadlines and production requirements clearly and show how changes affect delivery.
• Work with manager to resolve conflicting priorities and outside-timeline requests.
• Apply training and feedback to manage projects with increasing independence.
