Job summary

5.11 is seeking a Marketing Operations Specialist in Costa Mesa to support day-to-day marketing operations, including budget tracking, vendor coordination, events and travel, and cross-functional project timelines. Qualifications

• 3+ years of experience in marketing operations, project coordination, administrative support, or related role.
• Experience tracking budgets, expenses, invoices, or financial information.
• Strong proficiency in Microsoft Office, particularly Excel, PowerPoint, Outlook, and Word.
• Strong organizational skills with ability to manage multiple priorities, deadlines, and projects.

Responsibilities

• Track and reconcile marketing expenses across campaigns, events, travel, and vendors.
• Maintain budget trackers and provide visibility into departmental spending.
• Support budget planning, reporting, and forecasting with marketing leadership.
• Identify potential budget overages, discrepancies, or risks and flag them proactively.
• Assist with invoices, expense reports, and related documentation.
• Maintain organized records of vendor agreements, contracts, and sponsorships.
• Track vendor and partner commitments, deliverables, and deadlines.
• Coordinate with internal teams to confirm deliverables are received and documented.
• Support the onboarding and setup of new vendors.
• Serve as a point of coordination between vendors and internal partners to keep communication moving.
• Coordinate travel arrangements, flights, accommodations, and transportation.
• Help manage event timelines, logistics, and deliverables across internal and external partners.
• Track event and travel expenses and support post-event reconciliation and reporting.
• Ensure planning stays aligned with established budgets and operational requirements.
• Maintain planning calendars, project trackers, timelines, and key deliverables.
• Track dependencies and follow up with stakeholders to help keep projects on schedule.
