Job description

RASA World is hiring a Marketing Coordinator to keep our event campaigns moving from first announcement to post-event recap.

You’ll be the person who keeps everything on track: campaign timelines, artist marketing deliverables, creative briefs, social and agency coordination, email and SMS campaigns, sponsor deliverables, and event-week marketing. You’ll also pitch and run unconventional activations that get people talking about our events.

You’ll thrive here if you: are organized and proactive, don’t mind following up (more than once), catch mistakes fast, like building systems that make messy processes easier, and stay calm when plans change last minute. You’re internet-native and know how people find and talk about music, events, artists, and culture. Key responsibilities:

1. Campaign Project Management
  • Maintain event marketing timelines, campaign trackers, and project-management systems such as ClickUp.
  • Track tasks, owners, deadlines, and dependencies across internal teams, agencies, artists, partners, and vendors.
  • Proactively follow up on deliverables, flag bottlenecks, and elevate delays.
  • Keep campaign assets, links, approvals, and updates organized.
  • Prepare meeting updates, capture action items, and follow through on completion.
  • Maintain campaign calendars from announcements and on-sales through post-event marketing.
2. Artist Marketing Coordination
  • Track contractual and requested artist marketing commitments, including social posts, email, SMS, and content support.
  • Follow up with artist teams on assets, approvals, and outstanding deliverables.
  • Organize artist-specific campaign links and monitor performance where applicable.
  • Communicate restrictions, conflicts, and changes to the marketing team, escalating stalled deliverables as needed.
3. Creative Production Coordination
  • Translate approved campaign needs into complete, accurate creative briefs, including event details, specifications, copy, billing, logos, and deadlines.
  • Track requests from briefing through review, approvals, revisions, and final delivery.
  • Consolidate feedback and communicate clear revisions to creative teams.
  • Keep final assets organized and accessible, and anticipate upcoming needs to reduce last-minute requests.
4. Organic Social & Agency Coordination
  • Maintain visibility into content calendars and coordinate weekly reviews and approvals with the Marketing Lead.
  • Ensure social teams have current priorities, assets, links, and event information.
  • Consolidate feedback, track scheduling and publishing, and flag inaccurate or off-brief content.
  • Coordinate artist and partner collaborative posts, increasing communication as event day approaches.
5. CRM: Email & SMS Execution
  • Build email and SMS campaigns from approved briefs and copy.
  • Maintain deployment calendars and coordinate audience targeting and segmentation.
  • QA messaging, links, event details, pricing, promo codes, tracking, and formatting.
  • Prepare campaigns for review, confirm final approval with the Marketing Lead, and schedule sends.
  • Maintain accurate send records and campaign status.
6. Partnerships & Sponsor Deliverables
  • Track promised marketing deliverables, including logos, mentions, social posts, email placements, and content capture.
  • Coordinate assets, creative requests, and approvals with internal teams and partners.
  • Keep commitments and completion status documented, flagging conflicts or missing information early.
7. Activations & Campaign Moments
  • Pitch original, unconventional activations that build anticipation and conversation around RASA’s events.
  • Research cultural trends, local communities, venues, brands, and creators to identify relevant opportunities.
  • Develop proposals with concepts, audiences, potential partners, budgets, and logistical needs.
  • Work with the Event Marketing Lead to refine ideas and turn approved concepts into actionable plans.
  • Coordinate outreach, vendors, creative, logistics, RSVP flows, content capture, execution, and follow-up.
  • Evaluate results through attendance, engagement, earned exposure, and audience growth.
8. Event-Week Marketing
  • Maintain final campaign checklists and follow up on outstanding artist and partner commitments.
  • Coordinate Know Before You Go communications and keep teams aligned on current information.
  • Support real-time marketing needs, on-site content priorities, and timely communication of changes.
9. Post-Event Marketing & Organization
  • Coordinate recap content, artist requests and approvals, and remaining social deliverables.
  • Support attendee surveys and follow-up email and SMS campaigns.
  • Maintain organized campaign archives.
Who We’re Looking For
  • Organized and proactive, with strong follow-through and the confidence to chase overdue deliverables.
  • Detail-oriented without losing sight of campaign priorities.
  • A clear communicator who works effectively with internal teams and external partners.
  • Able to prioritize, solve problems independently, and recognize when to elevate.
  • Comfortable moving quickly, adapting to changing priorities, and staying solutions-oriented under pressure.
  • Interested in building systems that make complex processes easier to manage.
  • Culturally aware and internet-native, with a genuine understanding of how people discover and engage with music, events, artists, and brands.
  • Comfortable with the occasional last-minute changes that come with live events.

We welcome different backgrounds. Strong candidates may have 1 to 3 years of relevant experience in:
