Job summary

American Association of Neurosurgeons Inc, based in Rolling Meadows, IL, is seeking a Manager of Registry & NPA Operations to lead day-to-day operational management of the NeuroPoint Alliance programs and its clinical registry. You will serve as the operational lead for registry participants, vendors, contracts, program administration and internal processes.

Qualifications

  • 3-5 years of professional experience in program management or healthcare operations.
  • Bachelor's degree from an accredited college or university.
  • Experience managing multiple projects, timelines and stakeholders simultaneously.
  • Experience with contracts, invoicing, and vendor management.
  • Strong written and verbal communication and attention to detail.

Responsibilities

  • Manage day-to-day operational activities across NPA programs.
  • Develop and maintain project plans, operating calendars, timelines, SOPs, operations manuals, reference materials and training documents across the NPA portfolio.
  • Manage day-to-day activities for NPA's active registry and quality-improvement programs, including timelines, deliverables, budgets and progress toward milestones.
  • Serve as the primary operational contact for participating registry sites and contracted vendors.
  • Manage inquiries and follow-up with organizations interested in participating in NPA registries and support recruitment of new participating centers.
  • Guide participating organizations through onboarding, implementation, contracting, renewal and ongoing engagement.
  • Provide regulatory information, project descriptions, template agreements and data-collection information to advance site enrollment.
  • Manage the site contracting process, including coordination of contract modifications and comments from hospital legal departments and contracting officers.
  • Manage the site renewal process and ensure agreements are renewed and sites are invoiced before expiration.
  • Coordinate invoicing, accounts receivable and other program financial administration with AANS Finance.
  • Monitor contracted vendor deliverables, budgets, timelines and performance and actively pursue necessary changes to keep programs on track.
  • Conduct regular vendor meetings and ensure resulting action items are documented and completed.
  • Monitor registry participation, operational performance and participant engagement and identify opportunities to improve retention and participant value.
  • Support benchmarking, outcomes reporting and quality-improvement activities in coordination with physician leadership and other NPA staff.
  • Prepare project reports, Board reports, operational updates, presentations and other progress documents as needed.
  • Coordinate NPA meetings and conference calls, including agendas, materials, minutes, approvals and follow-up.
  • Serve as staff liaison to assigned NPA committees and workgroups.
  • Coordinate grant administration activities related to site performance tracking and payments in partnership with the Director, contracted Grant Manager and AANS Finance.
  • Work with AANS Marketing & Communications on participant outreach, website content, collateral materials, webinars and program promotion.
  • Coordinate with AANS IT and external technology partners when registry technology, data infrastructure or system support is required.
  • Identify opportunities to strengthen operational efficiency, standardize processes and improve the participant experience across NPA programs.

Position Overview

The American Association of Neurological Surgeons (AANS) established the NeuroPoint Alliance (NPA) to focus on neurosurgical outcome studies, clinical research, patient registries and other healthcare quality-improvement initiatives. NPA provides clinical registry and research services across neurosurgical specialties and engages in strategic partnerships to improve the quality of care for patients.

The Manager, Registry & NPA Operations is responsible for the day-to-day operational management of NPA and its clinical registry and quality-improvement programs. This position serves as the operational lead for NPA's registry participants, vendors, contracts, program administration and internal business processes.

The ideal candidate will be a highly organized program manager who can manage multiple initiatives, coordinate across internal and external stakeholders, strengthen operational processes and ensure NPA programs remain on track, well documented and responsive to participating organizations.

This is a full-time position in our Rolling Meadows, IL Corporate Office.

Required Qualifications

  • Demonstrated experience managing multiple projects, programs, timelines and stakeholders simultaneously.
  • Experience coordinating with vendors, clients, committees, internal departments, volunteers or external partners.
  • Experience with contracts, invoicing, program administration or vendor management.
  • Strong organizational and project management skills with the ability to manage multiple priorities and deadlines.
  • Strong written and verbal communication skills.
  • Excellent attention to detail and commitment to maintaining accurate documentation and tracking systems.
  • Proficiency with Microsoft Office, databases and project or program tracking systems.
  • Ability to independently identify issues, recommend solutions and move work forward.
Preferred Qualifications
  • Experience working in a health or medical association, nonprofit or healthcare environment.
  • Experience working with clinical registries, data-collection providers or clinical workflows.
  • Experience with participant or client onboarding, engagement and retention.
  • Experience managing external technology, data or program vendors.
  • Experience supporting quality-improvement, benchmarking or outcomes programs.
  • Familiarity with grant administration, site payments or research program operations.

Work Environment

This is a full-time position based in Rolling Meadows, Illinois. The position operates in a collaborative, cross-functional environment and works closely with NPA leadership, AANS departments, physician leaders, participating organizations, vendors and external partners. Travel and occasional evening meetings are required.

Compensation and Benefits

The salary range for this full-time position is $70,000-80,000. Actual compensation will be based on qualifications, experience and other job-related factors.
