Job summary

The American Association of Neurosurgeons Inc seeks a Corporate Relations Coordinator to support sponsorships, grants and partnerships across the enterprise. You will handle agreement administration, invoicing, revenue tracking and CRM data management in a fast-paced association setting.

This is a full-time hybrid role based in Rolling Meadows, IL, requiring two days per week in the office. You will collaborate with Finance, Meetings and Marketing to ensure timely fulfillment of sponsor

Qualifications

  • Bachelor’s degree required.
  • 1–3 years in administration, corporate relations or related fields.
  • Strong organizational and communication skills.
  • Proficiency in Microsoft Office, including Word, Excel, PowerPoint and Outlook.

Responsibilities

  • Prepare, process and track LOAs, sponsorship agreements, grant documentation and related corporate partnership materials.
  • Coordinate invoicing, payment tracking and revenue reconciliation with Finance.
  • Maintain accurate records of sponsorships, grants, corporate commitments and agreements within the CRM and internal tracking systems.
  • Track agreement status, invoicing, payments, deadlines, renewal schedules and outstanding documentation.
  • Support the execution and fulfillment of contractual obligations, sponsor benefits and recognition requirements.
  • Coordinate amendments and other changes to corporate agreements and invoices.
  • Maintain organized electronic records and documentation for corporate partnership activities.
  • Help ensure corporate support activities follow established AANS policies, procedures and approval processes.
  • Maintain accurate corporate partner profiles, funding histories, engagement notes, contacts and activity records.
  • Prepare monthly, quarterly and annual corporate revenue reports in collaboration with Finance and internal stakeholders.
  • Assist with revenue reconciliation and identification of outstanding payments or discrepancies.
  • Support the development and maintenance of dashboards, reports and performance metrics.
  • Provide information and reports to support departmental planning, forecasting and corporate partner strategy.
  • Support sponsorship administration and fulfillment for the AANS Annual Scientific Meeting, Spine Summit, educational programs, fellowships, NREF initiatives, NeuroPoint Alliance programs, Section activities and other enterprise initiatives.
  • Communicate with corporate partners regarding agreements, invoices, payments, deadlines, deliverables and fulfillment requirements.
  • Maintain sponsorship timelines, deliverable schedules and fulfillment records.
  • Coordinate with internal departments to ensure sponsor benefits and recognition are delivered accurately and on time.
  • Assist with sponsor communications and logistical coordination before, during and following meetings and programs.
  • Support post-program reconciliation and documentation of sponsorship fulfillment.
  • Provide day-to-day operational support for the Corporate Relations team.
  • Schedule internal and external meetings and maintain departmental calendars.
  • Prepare meeting materials, agendas, reports and supporting documentation.
  • Coordinate administrative and logistical support for the Corporate Relations Committee and other volunteer or leadership groups as needed.
  • Maintain departmental files, documentation and records in accordance with organizational record-retention practices.
  • Identify opportunities to improve administrative processes, tracking systems and departmental efficiency.

Position Overview

We are seeking a highly organized and detail-oriented Corporate Relations Coordinator to provide operational support for corporate relations activities across the AANS Enterprise. This role is ideal for a proactive professional who enjoys managing multiple priorities, working with corporate partners and supporting the systems and processes that drive partnership revenue.

The Corporate Relations Coordinator will serve as the operational foundation of the Corporate Relations team, supporting corporate sponsorships, grants and other funding relationships through agreement administration, invoicing, payment tracking, sponsorship fulfillment, financial reporting, CRM/database management and departmental logistics.

Working closely with the Senior Corporate Relations Manager, Finance and other internal teams, this position will help ensure corporate commitments are accurately documented, processed and fulfilled while providing responsive and professional service to corporate partners.

The ideal candidate will have strong organizational and communication skills, excellent attention to detail and the ability to manage multiple deadlines and priorities in a fast-paced association environment.

Required Qualifications
  • 1–3 years of professional experience in administration, corporate relations, fundraising support, account coordination, association management, event management or a related field.
  • Bachelor’s degree from an accredited college or university.
  • Strong organizational, time-management and project coordination skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage multiple projects, deadlines and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Professional and customer-service-oriented approach to working with corporate partners and internal stakeholders.

Preferred Qualifications
  • Experience working with CRM platforms, association management systems (AMS), fundraising databases or comparable business systems.
  • Experience with invoicing, payment tracking, financial reporting or revenue reconciliation.
  • Experience supporting sponsorships, grants, corporate partnerships or fundraising programs.
  • Experience supporting conferences, meetings, educational programs or other events.
  • Experience developing or maintaining dashboards, reports and performance metrics.
  • Experience in an association, nonprofit, healthcare, medical, scientific or other mission-driven organization.

Work Environment

This is a full-time hybrid position based in Rolling Meadows, Illinois. The Corporate Relations Coordinator will work onsite two days per week and remotely three days per week. Candidates must be able to commute regularly to the Rolling Meadows office.

The position operates in a collaborative, cross-functional environment and works closely with Corporate Relations, Finance, Meetings, Marketing, program teams and external corporate partners.
