Job summary

Responsibilities

  • Manage lease records and tracking system for properties owned and leased by the college, including terms, dates, expenses, and occupancy information.
  • Calculate and administer tenant allocations for real estate taxes, CAM, and other occupancy-related charges.
  • Serve as tenant liaison and provide customer service to tenants on tenancy matters including waste management and egress safety.
  • Maintain accurate location data for faculty and staff, and update on onboarding/departure.
  • Coordinate space moves approved by Senior Leadership; draft scopes of work and oversee minor capital projects and relocations.
  • Perform regular inspections of buildings, monitor cleanliness and curb appeal.
  • Manage campus furniture purchases, delivery, assembly, and inventory.
  • Maintain interior and exterior signage program per campus standards.
  • Coordinate with Property Managers or owners on cleanliness, security, and access; inform stakeholders of any disruptive activity.
  • Respond to emergencies during off-hours and perform other duties as assigned

Manager, Property Administration

The Manager, Property Administration reports to the Director ofReal Estate and Space Planning and supports the college's occupancymanagement, property administration, and campus move functions. TheManager maintains campus space data, occupancy records, and floorplans; coordinates campus relocations; supports leased and ownedproperties. This is an important role that requires attention todetail, excellent interpersonal and organizational skills, and anability to collaborate with a diverse set of stakeholders.

ESSENTIAL JOB DUTIES
  • Manage lease records and maintain tracking system forproperties owned and leased by the college, including lease terms,critical dates, operating expenses, and occupancy information.Calculate and administer tenant allocations for real estate taxes(RET), common area maintenance (CAM), and other applicableoccupancy-related charges.
  • Serve as tenant liason and provide excellent customer serviceto tenants related to any aspect of their tenancy, including butnot limited to tenants' waste management practices and safety ofegress areas.
  • Maintain accurate faculty and staff location data, and managethe data as needed when employees are onboarded or departed.
  • Implement and coordinate space moves throughout the campusapproved by Senior Leadership. Draft scopes of work and oversee allminor capital projects and relocations to ensure design standardsare adhered to.
  • Perform regular inspections of college's buildings, monitoringcleanliness and the curb appeal.
  • Manage furniture on campus, including the purchase, deliveryand assembly of new furniture, and the inventory of existingfurniture in use and in storage.
  • Maintain the interior and exterior signage program acrosscampus adhering to campus standards.
  • Serve as liason with Property Managers or owners of leasedproperties in relation to the cleanliness of offices, key andsecurity issues, work orders, and building access. Inform collegestakeholders of any activity that may interfere with normalbusiness operations
  • Responsible for responding to emergencies duringoff-hours
  • Perform other miscellaneous duties as assigned
QUALIFICATIONS

Qualifications are deemed required orpreferred and represent what is needed to effectively perform job.

  • Bachelor's Degree in a related field required
  • 3-5 years of experience in facilities management, propertyadministration, commercial real estate, or a related fieldrequired.
  • Professional certifications related to property management,facilities management, or real estate are preferred.
KNOWLEDGE, SKILLS, AND ABILITIES
  • Exceptional accuracy and attention to detail required
  • Ability to read and understand legal documents
  • Good math skills
  • Intermediate to Expert proficiency in MS Excel and the abilityto learn new software easily
  • Ability to interpret architectural and engineeringdrawings.
  • Working knowledge of occupancy management, and facilityutilization analysis.
  • Ability to tour a property and identify safety issues andconstruction flaws
  • Ability to schedule and supervise student workers
  • Excellent organizational skills and the ability to maintainmultiple projects simultaneously and to prioritize tasks
  • Self-starter with excellent interpersonal communication andproblem-solving skills
PHYSICAL ABILITIES
  • This position is moderately active in nature, movementthroughout the college buildings is routinely required.
  • Ability to have continuous oral and written communication withclients, co-workers and supervisors is essential.
  • Repetitive movements, frequent lifting of up to 30 pounds,reaching, pushing, stooping, climbing, and the ability to read acomputer screen, detect color-coding, and read fine print will beexpected.
IN-OFFICE EXPECTATIONS

This position requires an in-person presence on the Boston Campusduring the work week.

Compensation: $31.85 - $39.05 hourly, commensurate withexperience.

Grade of Position: 23-08NE
