Job summary

Elgin Community College seeks a Manager of Grant Operations to oversee grant administration, compliance, reporting, and budgeting within the Sustainability, Business and Career Technologies division. The role partners with faculty and administrators to ensure timely, accurate post-award support and strategic project coordination.

The ideal candidate has a Master’s degree and at least five years in grant administration, with strong data analytics, reporting, and communication skills.

Qualifications

  • Proficiency with Microsoft 365; experience with ERP systems and data visualization tools.

Responsibilities

  • Coordinate administration of grants within the division.
  • Ensure grant compliance, regulations, and reporting deadlines.
  • Maintain grant documentation and audit records.
  • Assist with grant applications, amendments, renewals, and closeouts.
  • Serve as liaison with funding agencies and internal stakeholders.
  • Coordinate collection and submission of grant performance data.
  • Prepare federal, state, institutional, and sponsor reports.
  • Develop dashboards and status reports for division leadership.
  • Monitor progress toward grant deliverables and milestones.
  • Identify reporting risks and recommend corrective actions.
  • Monitor grant budgets and expenditures; track spending.
  • Coordinate with Finance and Procurement on grant-funded purchases.
  • Assist with budget forecasting and grant closeout activities.
  • Coordinate division-wide projects and monitor deliverables.
  • Prepare presentations and executive summaries; coordinate meetings and communications.
  • Support major division initiatives and research funding opportunities.

Rate of Pay:

This is a Full-Time Administrative position at grade 15, with an annual salary range of $63,673 to $68,000. The salary offer will be based on education and experience, in alignment with the College’s compensation philosophy and the current Collective Bargaining Agreement (CBA), if applicable.

Job Summary:

The Manager of Grant Operations manages and coordinates the Advanced Manufacturing grant administration activities within the Sustainability, Business and Career Technologies division. The position is responsible for grant compliance, budget oversight, reporting, performance tracking, post-award implementation, and strategic project coordination. Working collaboratively with faculty, administrators, and internal college stakeholders, the position supports the successful execution of grant-funded projects and division priorities.

Required Knowledge, Skills & Abilities:
  • 1. Master’s degree and five years of experience in grant administration, project management, higher education administration, or related field
  • 2. Experience managing federal, state, local, or private grant-funded initiatives
  • 3. 2 years of experience developing and monitoring budgets
  • 4. Strong analytical and reporting skills
  • 5. Experience collecting, analyzing, and presenting data for decision‑making
  • 6. Knowledge of career and technical education
  • 7. Demonstrated project management skills
  • 8. Strong written and verbal communication skills, with the ability to prepare clear technical documentation, comprehensive narrative reports, and deliver effective presentations to diverse audiences.
  • 9. Ability to manage multiple projects simultaneously and meet deadlines
  • 10. Proficiency in Microsoft 365 applications, including Teams and the Microsoft Office Suite, as well as experience with database management systems, enterprise resource planning (ERP) systems (such as Colleague), reporting tools, and data visualization platforms.

  • Grant Administration/Compliance:
    • Coordinate administration of federal, state, local, and private grants assigned to the division
    • Ensure compliance with grant requirements, regulations, and reporting deadlines
    • Maintain grant documentation and audit records
    • Assist with grant applications, amendments, renewals, and closeout activities
    • Serve as a liaison with funding agencies and internal stakeholders
  • Grant Reporting and Performance Management:
    • Coordinate collection, validation, and submission of grant performance data
    • Prepare required federal, state, institutional, and sponsor reports
    • Develop dashboards, summaries, and status reports for division leadership
    • Monitor progress toward grant deliverables, milestones, and outcomes
    • Identify reporting risks and recommend corrective actions
  • Budget and Fiscal Management:
    • Monitor grant budgets and expenditures
    • Track spending against approved budgets and timelines
    • Review expenditures for compliance and allowability
    • Coordinate with Finance and Procurement regarding grant‑funded purchases
    • Assist with budget forecasting and grant closeout activities
  • Strategic Project Coordination and Administrative Support:
    • Coordinate division‑wide projects associated with grant‑funded initiatives
    • Develop project timelines and monitor deliverables
    • Prepare presentations, reports, meeting materials, and executive summaries
    • Coordinate grant‑related meetings and stakeholder communications
    • Support implementation of major division initiatives, equipment acquisitions, facility‑related projects, and special assignments
    • Research funding opportunities and assist division leadership in evaluating potential grant opportunities
    • Post‑award implementation
