Job summary

Gilead is seeking an experienced Events Manager in the United States to lead and coordinate complex HCP programs and conferences. You will partner with executives and vendors, manage budgets, and ensure seamless on-site execution across stages, travel, catering, A/V, and post-event analysis.

Ideal candidates have 6+ years in pharmaceutical event planning, strong negotiation and communication skills, and a proven track record of supervising junior staff and delivering results under pressure.

  • BA degree with 6+ years relevant experience in pharmaceutical or event planning
  • Master’s degree with 4 years experience in relevant field
  • Excellence in events management/planning/coordination and vendor management
  • Strong communication and problem-solving skills

Responsibilities

Job description

Specific Responsibilities and Skills:
  • Extensive knowledge and application of event planning principles, concepts, practices, and industry standards.
  • Use logic, analysis, and relevant experience to assess situations, define problems, and determine scope.
  • Multi-task while meeting timeliness and accuracy standards by anticipating necessary resources.
  • Influence senior management and establish effective relationships with diverse stakeholders through persuasive verbal, written, and interpersonal communication.
  • Gain support through established channels by identifying needs, building trust, and supporting solutions/ideas.
  • Demonstrate initiative and strong task management: pro-activity, planning, prioritization, objective setting, meeting management, and plans.
  • Execute and solve problems under pressure.
  • Understand the pharmaceutical environment and be proactive with conference planning and event management.
Essential Functions:
  • Organize and plan logistics for HCP programs (e.g., advisory programs, medical education, conference debriefs, annual departmental meetings, and other Gilead events).
  • Coordinate with internal stakeholders and external vendors to meet logistical expectations.
  • Communicate with event attendees (including executive management) and external advisors for travel and event details.
  • Attend events to ensure catering, travel, audio-visual, meeting space, and off-site dinners run as planned.
  • Prepare/distribute meeting or event communications; provide post-event analysis and event metrics.
  • Recommend venues and services; negotiate vendor contracts/terms; conduct site visits.
  • Manage budgets (purchase orders, check requests, honorariums; track/reconcile/report expenses per Legal requirements).
  • Coordinate senior management approval for Medical Affairs conference nominations.
  • In a functional/team-lead capacity, oversee day-to-day activities and review work of Events Assistants and Associates.
  • Develop/update departmental processes; provide training; may lead roll-out of new tools/applications/processes.
Qualifications (Education/Experience):
  • BA degree with 6+ years relevant experience in the pharmaceutical or event planning industry, or Master’s degree with 4 years.
Required/Preferred Skills:
  • Excellence in events management/planning/coordination, vendor contract negotiation, and vendor management.
  • Ability to manage multiple simultaneous complex projects.
  • Strong customer service and relationship-building with internal/external stakeholders.
  • Excellent communication and problem-solving skills; strong Microsoft Office proficiency.
  • Thorough understanding of Gilead products and relevant policies/processes.
  • Proven independent performance under pressure; successful supervision of more junior employees.
  • Experience improving operational function; formal presentation experience.
  • Speaking multiple languages is highly preferred.
