Job summary

Jobtailor is seeking an experienced events program manager to support pharmaceutical clients in the United States. You will own end-to-end meeting programs from kickoff through closeout, coordinating timelines, budgets, venues, speakers, and attendee logistics.

You will build relationships with clients and internal teams, lead onsite execution when needed, ensure compliance with industry regulations, manage registrations and travel, and deliver post-event reports with actionable insights.

Qualifications

  • Bachelor’s degree or equivalent; experience in pharma events preferred.
  • Strong knowledge of pharma compliance and industry best practices.
  • Experience managing registrations, speaker logistics, and budgets.

Job description

• Serve as primary contact for assigned pharmaceutical clients and programs
• Manage project timelines, budgets, deliverables, and program communications from kickoff through completion
• Build client relationships and facilitate planning meetings, status updates, and program reviews
• Coordinate internal teams, vendors, venues, and stakeholders
• Plan and execute HCP-focused meetings and events, including advisory boards, speaker programs, investigator meetings, congresses, medical and scientific meetings, internal pharmaceutical meetings, and virtual or hybrid programs
• Manage attendee registration, communications, travel, accommodations, and onsite logistics
• Coordinate venue sourcing, vendor management, production needs, and event technologies
• Develop project plans, run-of-show documents, and operational materials
• Lead onsite execution for clients, faculty, speakers, and attendees
• Ensure compliance with pharmaceutical regulations, client policies, and HCP engagement requirements
• Manage attendee eligibility, honoraria, travel arrangements, expense tracking, and supporting documentation
• Partner with compliance, legal, medical, and regulatory teams
• Support transparency reporting and accurate tracking of HCP participation and related expenses
• Manage budget reconciliation, invoice processing, attendance reporting, compliance reporting support, and program closeout
• Prepare post-event reports, insights, and recommendations
• Conduct client and internal debriefs and apply lessons learned to future programs

Requirements
  • 5-8+ years of experience in meeting and event management
  • 2-4+ years of experience planning and managing Healthcare Professional (HCP) meetings and engagement programs
  • Experience supporting pharmaceutical, biotechnology, medical device, healthcare, or life sciences clients
  • Working knowledge of pharmaceutical compliance requirements and industry best practices
  • Experience managing attendee registration, speaker logistics, honoraria, travel, contracts, and reporting requirements
  • Strong project management, budgeting, and organizational skills
  • Excellent communication, client-service, and relationship-building abilities
  • Ability to manage multiple projects, deadlines, and stakeholders in a fast-paced environment
  • Proficiency with Microsoft Office and event management technologies
  • Bachelor's degree or equivalent combination of education and experience
  • Ability to travel approximately 25-30%
  • Must be based in California, Colorado, Florida, Georgia, Illinois, Kansas, Minnesota, Missouri, Nebraska, New York, Ohio, Oklahoma, South Carolina, Texas, or Wisconsin
  • Must be legally authorized to work in the United States at the time of application and throughout employment
  • No visa sponsorship provided, including H-1B, TN, or other employment-based visas
