Job summary

AdventHealth is seeking an experienced Administrative Services professional to manage office workflow, supervise staff, and coordinate onboarding, evaluations, and timekeeping. The role involves planning events, supporting executive logistics, and maintaining equipment, supplies, and budgets.

The candidate will lead regular team meetings, draft policies and documentation, and communicate with leaders and staff to ensure efficient operations and compliance with HIPAA and regulatory guidelines.

Qualifications

  • Ability to prioritize, coordinate/organize and manage multiple priorities while meeting deadlines.
  • Ability to manage support staff and maintain high performance and morale.
  • Maintain confidentiality and adhere to HIPAA and regulatory guidelines.
  • Detail-oriented with strong proofreading and editing skills.
  • Excellent verbal and written communication and presentation abilities.
  • Proficiency in Outlook, Word, Excel, PowerPoint, Access, Project, Visio, and Live Meeting.
  • Basic accounting, HR, contract administration knowledge.
  • Ability to read and interpret general business materials.
  • Ability to write reports and business correspondence.
  • Ability to present information clearly to diverse audiences.
  • Ability to make independent decisions and prioritize workload.
  • Bi-lingual skills preferred.
  • Demonstrated leadership, contract negotiation, and staff development abilities.

Responsibilities

  • Coordinate office workflow and supervise administrative staff.
  • Oversee onboarding, performance reviews, and timekeeping processes.
  • Lead regular team meetings to share updates and procedures.
  • Plan department events and support executive-level logistics.
  • Manage equipment, supplies, and budget responsibilities.
  • Assist leadership with scheduling, travel, and meeting logistics.
  • Provide comprehensive admin support including minutes, reports, and agendas.

  • Communicate effectively with staff and leadership across the organization.
  • Foster strong relationships between admin staff and leadership.
  • Ensure document management compliance and filing protocols.
  • Collaborate on strategic initiatives and special projects.
  • Perform additional duties as assigned.

Job Description:
  • Manages and coordinates office workflow and administrative support staff, monitors performance, provides training, fosters teamwork, and addresses personnel issues including disciplinary actions.
  • Participates in hiring processes and oversees human resources functions such as onboarding, performance evaluations, and timekeeping.
  • Conducts regular team meetings to communicate updates, align on procedures, and promote collaboration.
  • Plans and executes department and organizational events, including town halls and leadership functions, while supporting executive-level logistics.
  • Oversees departmental operations including procurement and maintenance of equipment, supplies, and furnishings, and may manage budgetary responsibilities.
  • Supports leadership with complex scheduling, travel coordination, event planning, and meeting logistics.
  • Provides comprehensive administrative and secretarial support including reception, correspondence, research, and preparation of agendas, reports, presentations, and meeting minutes.
  • Develops, updates, and maintains departmental policies, procedures, and contract documentation.
  • Communicates effectively with staff and leadership, representing the department professionally to internal and external stakeholders.
  • Facilitates strong working relationships between administrative staff and leadership to support organizational goals.
  • Coordinates document management and ensures departmental compliance with filing and maintenance protocols.
  • Collaborates with leadership to support strategic initiatives and special projects requiring administrative oversight.
  • Performs other duties as assigned.
Knowledge, Skills, and Abilities:
  • Ability to prioritize, coordinate/organize and perform multiple priorities/responsibilities in a calm, productive and flexible manner, while meeting required and ever-changing deadlines Required
  • Ability to manage support staff, maintaining high level of performance and staff morale Required

  • Ability to effectively present information and respond to questions from different sources, including directors, physicians, customers, and the general public Required
  • Ability to make independent decisions and use own discernment when prioritizing projects and daily workload Required
  • Must be able to read, write and speak conversational English; bi-lingual skills Preferred
  • Demonstrated leadership capabilities, including ability to negotiate contracts, develop corporate partnerships, work effectively with leadership, and manage and develop employees with diplomacy and professionalism Required

Education:
