Job summary

Cherokee Federal seeks a Management Analyst III to serve as an Executive Administrative Specialist supporting the Office of Outreach (T/Outreach). The role manages day-to-day office operations, provides high-level support to the Office Director and staff, and coordinates information and travel activities while developing and implementing operational policies and procedures.

The position analyzes organizational methods to improve efficiency and ensure compliance with agency requirements.

Qualifications

  • Master’s degree and DoS-related experience or equivalent.
  • Two years of executive-level support experience and five years of program/operations analysis.
  • Experience with data analysis using Excel, R, Stata, and/or e2.
  • Strong written and oral communication skills.
  • Ability to adapt policies to changing needs with agility.
  • TS/SCI security clearance required.
  • Must pass Cherokee Federal pre-employment qualifications.

Responsibilities

  • Manage day-to-day office operations and provide high-level administrative support to the Office Director and personnel.
  • Manage the Office Director's schedule and calendar.
  • Handle incoming documents and meeting requests.
  • Plan, coordinate meetings, conferences, and special events sponsored by the Office.
  • Prepare and distribute weekly announcements for Office meetings.
  • Serve as primary external contact for the Office; greet and assist visitors.
  • Open and distribute incoming mail.
  • Order and maintain office supplies.
  • Operate standard office equipment.
  • Ensure adherence to security protocols for information handling and access.
  • Coordinate draft memoranda, prepare official correspondence, compile data, and generate reports.
  • Arrange official travel itineraries and authorizations (e2).
  • Assist in planning and implementing operational policies and procedures.
  • Evaluate effectiveness of organizational methods and administrative support systems.
  • Develop new administrative procedures to streamline workflows and regulatory alignment.
  • Perform internal management surveys for compliance.
  • Advise on potential benefits of new tech tools to improve efficiency.
  • Represent the directorate in meetings with Senior Officials.
  • Maintain liaison with partners in other offices and agencies.
  • Coordinate projects and initiatives; resolve operational problems.
  • Support high-priority projects and initiatives.
  • Perform other duties as assigned.

Management Analyst III

The Management Analyst III serves as an Executive Administrative Specialist supporting the Office of Outreach (T/Outreach). The position manages day-to-day office operations, provides high-level administrative support to the Office Director and personnel, evaluates administrative procedures, coordinates information and travel activities, and supports the development and implementation of operational policies and procedures. The position also analyzes organizational methods and administrative support systems to improve efficiency and ensure compliance with agency requirements.

Compensation & Benefits:

Estimated Starting Salary for Management Analyst III: $89,832

Pay commensurate with experience.

Management Analyst III Responsibilities Include:
  • Manage day-to-day office operations and provide high-level administrative support to the Office Director and personnel.
  • Manage the overall Office schedule and Director’s calendar.
  • Handle incoming document and meeting requests.
  • Manage the reservation and use of T Family Conference Rooms and T/Outreach Meeting Rooms.
  • Assist with the planning, logistics, and coordination of meetings, conferences, and special events sponsored by the Office.
  • Prepare and distribute announcements for weekly Office meetings.
  • Serve as the primary point of external contact for the Office, including receiving and directing telephone calls, answering questions, and greeting and assisting visitors.
  • Open and distribute incoming mail.
  • Order and maintain office supplies for personnel.
  • Operate standard office equipment, including PCs, copiers, scanners, and printers.
  • Ensure adherence to appropriate security protocols involving information handling, visitor access, and physical space management.
  • Coordinate draft memoranda, prepare official correspondence, compile data, and generate reports.
  • Copy documents, maintain official records, and research and update internal telephone directories.
  • Arrange official travel itineraries and authorizations, preferably utilizing approved Department software platforms, currently e2.
  • Assist in planning, coordinating, developing, and implementing operational policies and procedures for Office operations.
  • Evaluate and advise management on the effectiveness of organizational methods and administrative support systems, including data management, records management, communications, forms, and documentation.
  • Develop new or modified administrative procedures and methodologies to streamline workflows and support regulatory alignment.
  • Perform internal management surveys to determine compliance with agency regulations, procedures, and sound management practices.
  • Advise on the potential benefits and uses of new technological tools to improve the efficiency of executive administrative support.
  • Represent the directorate in meetings and working groups involving Senior Officials within the Bureau, Department, and other Federal agencies.
  • Maintain active liaison with partners in other offices, bureaus, agencies, and USG-external institutions.
  • Coordinate projects, policies, and initiatives and assist with resolving operational problems.
  • Provide support for special high-priority projects and initiatives.
  • Performs other job-related duties as assigned.
Management Analyst III Experience, Education, Skills, Abilities Requested:
  • Possess a master’s degree and prior Department of State experience in a function related to the work of T/Outreach, including Congressional, Press & Digital, or Outreach & Internal Communications; OR
  • Have a minimum of two years of experience providing executive-level support and five years of experience performing analysis of programs and operations.
  • Qualifying experience may include internship work, contractor work, direct U.S. Government employment, or relevant employment with other entities.
  • Good interpersonal skills and the ability to interact professionally with Department officials.
  • Ability to perform analytical work in an office environment.
  • Strong written and oral communication skills.
  • Understanding of and experience implementing administrative concepts and principles.
  • Ability to adapt policies and procedures to immediate needs while demonstrating agility and comfort with ambiguity.
  • Experience conducting data analysis using specialized software such as R, Stata, Excel, and/or e2.
  • Must possess a TS/SCI security clearance.
  • Must pass pre-employment qualifications of Cherokee Federal.
