Job summary

Henderson Properties is seeking a qualified Maintenance Support Specialist to act as the central point of contact for incoming service requests, review work orders, and coordinate with technicians and vendors to ensure on-time completion.

You will prepare cost estimates, manage materials and ordering, and provide timely updates to residents and internal teams while maintaining accurate records and documentation.

Qualifications

• 2+ years of experience in a coordination, dispatch, customer service, or administrative role.
• Experience with Property Meld or similar maintenance management software.
• Familiarity with the greater Charlotte area and local vendors or contractors.
• Clear, professional written and verbal communication skills.
• Attention to detail and a commitment to accurate record-keeping.
• Experience ordering appliances or materials and working with vendors.
• Basic knowledge of maintenance trades and terminology.

Responsibilities

• Respond to a high volume of phone calls and emails, providing prompt and professional assistance.
• Manage maintenance inquiries, resolve account issues, and ensure timely follow-up.
• Prepare cost estimates for routine and small-scale repairs that fall outside large projects, covering labor, materials and vendor quotes, and send them for approval.
• Maintain accurate records and process transactions using company systems.
• Build and maintain strong relationships with residents to promote satisfaction and retention.
• Participate in team meetings, projects, and process improvement initiatives.
• Maintain and update procedural documentation and workflows.
• Assist with departmental and cross-functional projects as needed.
