JOB SUMMARY:
The Maintenance Supervisor/Field Service Supervisor works closely with the Portfolio Manager in the execution of operational priorities of assigned HUB as well as day to day management of service requests and satisfaction.
Reports to: Portfolio Manager
Supervises: Under the direction of the Portfolio Manager, supervises all on-site staff maintenance including any outside contractors and vendors performing work on the property.
ESSENTIAL RESPONSIBILITIES:
- Adherence to property-level expense budgets.
- Ensuring that maintenance associates are properly trained to perform their role and comply with all company and department policies.
- Establishing and maintaining satisfaction standard.
- Holding field team associates and vendors accountable to established operating standards.
- Dual oversight role of both rehab/turn and maintenance operations, Field Service Supervisor, has the challenging responsibility of making the best field-level decisions to balance experience, asset preservation and budget objectives.
- Providing leadership, hiring, training, evaluating, and supervising all on-site service associates.
- Promoting and upholding all company policies.
JOB DESCRIPTION:
1. Reporting
- Establish a deep understanding of all maintenance related reporting including key performance indicators (KPI) that drive cost, speed, quality, productivity, efficiency, and satisfaction metrics.
- Understand the in and the value of all company reporting sources (e.g., Tableau, SharePoint, Yardi, etc.).
- Analyze reports to identify areas of opportunity and their root causes.
- Develop familiarity with general Leasing & Property Management (LPM) reporting (i.e., renewal, rent growth, other income, etc.) that have upstream and downstream impact on RTM costs.
2. Vendor / Contractor Management
- Collaborate with Facilities Manager to routinely introduce new vendors to the vendor network in the assigned market to ensure pricing levels remain current and to promote a competitive environment.
- Assist Facilities Manager in the tracking and management of vendor compliance (i.e., insurance, license(s), etc.)
- Ensure job assignments are effectively distributed across vendors and field service techs to optimize KPIs (e.g., cost, quality, speed, capacity, and experience).
3. Associate Leadership
- Develop a team culture that embraces idea sharing, collaboration, accountability, genuine care, engagement, and job safety.
- Proactively review financial, and general performance (including all KPIs) with team members to align their understanding of the business.
- Review Quinn maintenance job guides regularly with team members to ensure they understand expectations regarding their role and can be held accountable for performance with these standards.
- Assist Portfolio Manager to ensure effective management of all HR-related activities including associate onboarding, setting of hours, and managing team PTO. Understand and use the appropriate technological systems (e.g., ADP, Expensify, etc.) to manage these tasks.
4. Expense Management
- Remain consistently aware of the month-to-date (MTD), quarter-to-date (QTD) and year-to-date (YTD) budget variance throughout the year.
- Communicate all projected, unfavorable budget variances to Portfolio Manager to ensure awareness of projected financial challenges.
- Balance cost savings initiatives with experience standards and long-term assets
- Routinely evaluate and test vendor pricing to ensure costs remain highly competitive in the marketplace.
- It is important for the Field Service Supervisor to collaborate with leasing and property management team members to ensure efforts to manage or reduce maintenance related expenses do not compromise our commitment to .
QUALIFICATIONS:
- Bachelor’s degree in business or other related field OR 5+ years in Property Maintenance.
- Knowledgeable in Microsoft Office products, and general Microsoft Excel skills.
- Proficient in Yardi property management software or other similar property management software.
- Able to multi-task with multiple projects and deadlines.
- Must have a keen eye for construction details and overall physical property attributes.
- Strong organizational, creative, and communication skills.
- Can work independently with minimal direct supervision.
- Travel is required for site inspections and other team meetings.
