Job summary

Jones Lang LaSalle Incorporated (JLL) is seeking a Maintenance Planner/Scheduler for the Elk Grove Village, IL site to support our Asset Management team. The role focuses on planning and scheduling all maintenance activities using CMMS, optimizing labor, inventory, and part ordering to maximize uptime and efficiency.

The ideal candidate has five years of facilities planning experience, a bachelor’s degree in engineering or management, strong MS Office and CMMS skills, and knowledge of HVAC,

Qualifications

  • Five years of experience in facilities planning and scheduling for operations and maintenance.
  • Advanced knowledge of Microsoft Office; CMMS experience; SharePoint knowledge; HVAC, electrical and plumbing familiarity.
  • Bachelor’s degree in engineering or management; SQL or Oracle experience; report-writing skills.

Responsibilities

  • Plans, schedules, coordinates and assigns maintenance activities for teams.
  • Optimizes maintenance inventory by balancing workload with labor availability.
  • Creates asset-related purchase requisitions and tracks parts.
  • Maintains CMMS data integrity and audits maintenance records.
  • Collaborates with operations on maintenance programs and schedules.
  • Develops SOPs for CMMS and storeroom operations.
  • Provides weekly reports and identifies risks with mitigation plans.

What this job involves – Maintenance Planner/Scheduler role is in support of the JLL Asset Management journey towards a World Class Maintenance organization. This industry standard role provides more efficient means of managing facilities maintenance and associated maintenance labor, freeing hours for additional business priorities.

Planning & scheduling for all maintenance and operations encompassed in the CMMS tool are to be conducted using current CMMS system application and standardized business processes.

What is your day to day?
  • Plans, schedules, coordinates and assigned all frequency and work type maintenance activities for group or team of responsibility
  • Optimizes maintenance inventory by balancing work load to labor availability
  • Complies with all client CMMS standards and specifications to ensure database integrity and standardization
  • Manages asset maintenance parts ordering process (MRO) for assigned team(s) and optimizes efforts through PM Auto ordering where applicable
  • Creates all asset-related purchase requisitions
  • Collects data and collaborates with operations team to optimize maintenance programs.
  • Maintains maintenance record compliance to CMMS and Maintenance business process standards and specs through periodic data auditing
  • Maintains liaison with facilities technicians and other management regarding work execution, necessity of altering schedules and manpower status
  • Tracks all asset information, including spare parts and documentation
  • Arranges for special tools and equipment
  • Tracks all asset information, including spare parts, documentation and Booked Labor
  • Continuous improvement of the work planning and scheduling process through the review and use of maintenance metrics, analysis of work order flow, project demands and expectations.
  • Submits and document database record changes using client CMMS change request system
  • Regulate Critical Environment facility management services to prevent business impact and equipment downtime.
  • Establish objectives and processes required to maintain critical infrastructure at optimum performance.
  • Identify open, unscheduled and/or unassigned work by running prescribed work order query in Assignment Manager
  • Provides weekly reports to facility managers, identifies risks and gaps and provides resolution plans.
  • Buils object structure in CMMS.
  • Develop/maintain and update standard operating procedures for CMMS/Storeroom operations.
  • Demands and Work Environment - Physical ability to walk jobsites in uneven terrain. Provide personal transportation for meetings and job visits away from the office; reimbursed. Requires ability to make routine physical visits to jobsites, customer events in construction and other environments.
Desired experience and technical skills
  • Required Five (5) years of experience in facilities, requiring strict planning and scheduling protocols for operations and maintenance.
  • Experience in planning and scheduling the work of hourly employees using CMMS systems Advanced knowledge of Microsoft Office Suite (Excel, Visio, Outlook); working knowledge of Sharepoint Knowledge of commercial HVAC, electrical and plumbing systems and equipment Client service-oriented attitude Excellent verbal and written communication skills Strong organizational and prioritization skills Advanced computer skills
  • Preferred One (1) year+ of experience in a Critical Environment
  • Bachelor’s Degree in an engineering or management
  • Experience with SQL or Oracle
  • Experience with report writing or generating software

Expected compensation for this position: 105,000.00 – 125,000.00 USD per year Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
